POSITION DESCRIPTION: This position provides support to the Mailroom. Reprographics, Records, Guest Services unit as well as other areas of Support Services as needed. Serve as a mailroom clerk to receive, process, and deliver all time-sensitive incoming mail/packages to the appropriate customer as needed. Prepare outgoing mail/packages by applying proper packaging and processing methods. Deliver and pick up mail from the US Post Office. Log certified and registered mail. Use a tracking system to track receipt and delivery of mail. Perform research for packages without correct delivery information. Enter various mailroom operations data into a pre-established tracking spreadsheet accurately and correctly. Pick up boxes of documents and documents shred bins from various locations and deliver document boxes to an off-site document storage facility as needed. Deliver copy paper to business centers and install paper into copiers as needed. Respond to inquiries regarding damaged and/or missing packages. Assist with using a handheld scanner to track inventory of general office supplies, office equipment, and incoming and outgoing packages. Answer overflow calls from the mainline console. Respond to inquiries regarding damaged or missing packages. Serve as Front desk clerk for the Turnpike Enterprise Headquarters. Answer all incoming phone calls on the mainline console. Answer and interact with the front desk building security phones in a timely and professional manner. Provide callers with accurate information, identify the callers' needs, and transfer them to the appropriate party. Provide general organizational information, traveling directions, and tolling instructions to visitors, callers, and employees as requested. Answer calls and transfer calls as necessary to the appropriate employee promptly and efficiently. Greet all visitors, announce the visitor's arrival, create, and issue a visitor badge, and arrange for the visitor to be escorted to their destination. Maintain and monitor requests for visitor badges. Prepare visitor badges utilizing an electronic badge system. Monitor electronic badge system. Verifies identification of all visitors to determine whether the visitor is allowed into the building. Coordinate and assist with room set-ups and verify meeting rooms are set up according to the request of the customer before the meeting. Ensure rooms are neat, clean, and ready for use. Assist with external meeting/event requests. Receive, communicate, and coordinate building work order requests utilizing a work order system. Ensure all work order requests are properly processed and communicated to the proper party and/or parties promptly. Receive mail and packages at the front desk. Receive and process requests to reserve motor pool vehicles, prepare and coordinate motor pool car washes, and inspect or request for vehicles to be inspected to ensure cleanliness. Request for motor pool vehicles to be inspected to ensure all vehicles are in proper operation and in readiness condition for use including but not limited to ensuring the car has a full tank of gas. Verify customer will return vehicles on time, with motor logs complete, the P-card is in the binder, and the car is returned on a full tank of gas. Maintain all required vehicle maintenance and service logs, identify, and report vehicle deficiencies, and coordinate all necessary vehicle repair services. Transport motor pool vehicles to and from the maintenance yard as needed. Comply with Florida Turnpike Enterprise fleet management policy and procedures. Assist the Reprographics department with various functions that include but are not limited to related procedures, which include scan requests, print requests, creating business cards, notepads, newsletters, brochures, and other printed materials. Delivers printed materials to proper departments within Florida's Turnpike Headquarters complex or mails out the requests to the other locations.
