The right candidate will provide legal assistance to attorneys and clients in all aspects of our Real Estate and Transactions Practice Groups. The Assistant will perform advanced-level legal and administrative support duties requiring sound judgment, critical thinking, project management and advanced organizational skills, as well as strong proofreading and formatting skills. Successful candidates must have exceptional communication and administrative skills and be highly organized, confidential, proactive, detail-oriented; have a willingness to learn and work effectively within a team environment.Assist attorneys by providing administrative assistance through the performance of complex secretarial and clerical duties including: meeting planning and coordination, client communication, and scheduling, etc.Receive and screen telephone calls, letters and/or visitors; answer routine questions and furnish information to inquiring partiesSchedule appointments and make arrangements for conferences and travel; maintain attorney's calendar and daily docket to ensure that deadlines are metInteract with persons at all levels in the firm, industry and community; heavy client contactCommunicate attorney's instructions to various individuals and furnish and obtain information from other attorneys within the practice areaCreate, organize and maintain client files, follow up on pending mattersMaintain physical and electronic client, research and administrative files utilizing NetDocsGreet attorney’s clients and guests for meetings and appointments and ensure that all required materials are organized in advanceInteract with clients frequently by responding to their questions and obtaining information as requiredAnticipate attorney's needs and prepare necessary documentation in draft for attorney's review, including miscellaneous correspondence and client billingProvide document production services, including styling and formatting of documentsProofread all documents and check for appropriate formatting, spelling and grammatical errorsPrepare documents and packages for mail, messenger and overnight delivery; ensure that all attachments, exhibits and enclosures are intactReceive and redirect attorney requests and needs as appropriate to expedite solutionsManage incoming and outgoing mail and emailSubmit conflicts check(s) through OPENEnter new client matter information in OPEN and prepare engagement lettersInput Partner's time in Intapp and record informationPrepare expense report and disbursement formsPerform routine filings and retrieve files when requestedTranscribe dictation as requestedHigh School Diploma or GED required; Associate's Degree or Bachelor's Degree in a related field preferredMinimum of three (3) years previous legal assistant or administrativeexperience requiredPrior experience working in a legal setting strongly preferredProficient in the use of Microsoft Word, Outlook, PowerPoint and Excel
