CoordinatorReq #:0000160828 Category:Clerical / Administrative Support Status:Full-Time Shift:Day Facility:RWJ Rahway Department:Emergency Department Location: RWJUH Rahway Hospital, 865 Stone Street, Rahway, NJ 07065 Job Overview: TheUnit Administrator Coordinatoris responsible for coordinating the Unit Administrator workflow in the Emergency Department. In addition, this position provides secretarial and administrative support while establishing and maintaining various procedures such as data collection and document tracking and filing. Qualifications: Required: High school graduate with secretarial experience or high school plus clerical training Must demonstrate English fluency and strong oral and written communication skills Requires strong organizational, critical thinking and problem solving skills Must be able to negotiate and promote consensus Basic math and proficient computer skills required Preferred: Microsoft Office experience preferred Scheduling Requirements: Full-Time (3) 12-hour shifts 7:00am-7:00pm Rotating Weekends and Holidays Essential Functions: Maintains responsibility for accuracy Collect patient-feedback through customer service rounds and/or through discharge patient call-backs Performs numerous duties, including scheduling for Unit Administrators and/or ED Technicians, ordering of clinical (PeopleSoft Supply chain management) and office supplies (Staples), maintaining inventory, preparing medical files, receiving and communicating messages between medical staff, nursing staff, and patients Directs personnel to appropriate hospital resources Determine and establish office procedures and routines; assigning tasks to Unit Administrators Keeps inventory of office equipment by following operating instructions; troubleshooting breakdowns, maintaining supplies, performing preventive maintenance, calling for repairs and ensuring all open tickets are resolved Train other Unit Administrators in hospital procedures and in use of current software/EMR The UAC will act as a supervisor, preceptor and mentor to ensure consistency and continuity of departmental patient care and flow expectations The UAC will assist with staff development and in promoting an organizational culture that fosters teamwork The UAC demonstrates a strong ability to collaborate with ED Team leadership to identify, analyze and effectively solve conflict resolutions Ensures secretarial staff is updated on department changes and compliant with workflow. Prepare draft agendas for meetings and take minutes Through quarterly Unit Administrator meetings, the UAC is responsible for staff receiving all pertinent information Ensures standardization with hospital processes across all settings as appropriate Other Duties: Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
