And through our network of 38 offices spanning five continents, we can deliver for our customers anywhere around the globe.The Project Manager has responsibility for the planning and execution of events and entertainment projects such as: corporate events (trade shows, exhibits, permanent installations), music (concert tours, residencies and one-offs) sporting events, political events and live television & film. Working with the Account Executive, the Project Manager will identify the opportunity team, and may make or participate in the sale or execute projects generated by another Account Executive or group. The Project Manager prepares and defines Scope of Work in collaboration with Account Executive and/or client, to include comprehensive budget (revenue and cost), project and labor schedule, workflow, internal resource requirements, concept designs and layouts, the determination of product/gear, construction, operational plans, production services and labor specifications. The work involves considerable client contact with an emphasis on providing project services tailormade to the client’s vision, and the Project Manager is expected to provide excellent customer service both internally and externally throughout the project lifecycle. Size and complexity of project assignments may vary based on level of experience as defined by Business Unit. Essential Functions:Prepares Scope of Work and detailed project plan in collaboration with Account Executive, Technical Product Managers and Project Coordinators. Provide ongoing project management to ensure project is delivered on time, on budget, and meeting client expectations. Closely communicate with clients, including providing project updates, customer support, manage expectations, and provide clarity on any questions related to SOW, such as detailed exclusions and inclusions. Working with the Account Executive, identify opportunities to capitalize on value-added expertise and non-core services. Collaborate with customer and Account Executives to develop technology and design solutions for projectsParticipate in project pricing (Deal Desk) reviews and work with Account Executive to generate and amend quotesTrack project change orders to ensure appropriate approvals, and communicate changes to all impacted stakeholdersManaging integrity and accuracy of orders in the Asset Management System (AMS) throughout project lifecycle including Quotes, Reservations and Order (QRO) phase of each project as a daily function. Closely monitor financial performance and ensure all financial metrics are up to date. Participate in month-end financial reconciliation. Ensure equipment return dates, times and changes are accurate in AMSEnsure accuracy and completeness of project documentation to include; drawings, schedules, budgets, contracts, PO’s, invoices, logistic documents, subcontractor agreements. Timely communication of short turn orders to opportunity teamCoordinate all project logisticsCoordinate and track 3rd party vendorsDetermine project labor requirements, build labor schedule and tracking labor actualsInteract with internal labor coordinators including booking of travel and per diem requirementsEnsure timely and accurate submission of paperwork, timesheets and expenses related to show labor to all parties responsibleMay be required to participate in client presentations May manage and execute on-site production, including management of show labor. Promote job site safety and investigate all safety and reliability concerns. Lead project close-out process, including project reconciliation, post-show client deliverables, and client success managementMay participate in continuous improvement projects and implementation of updated processes and procedures Knowledge, Skills, and AbilitiesStrong project management skills and attention to detailExcellent communication and interpersonal skills both written and verbal Ability to read and comprehend contract scope and terms and conditionsDemonstrated organizational and time management skills, ability to prioritize multiple projects under tight deadlinesCreative mindset and problem-solving aptitudeWorking knowledge of equipment and technology within own product discipline(s) (e.g. audio, lighting, video, rigging, scenery, scenic automation, engineering, labor)Ability to read and comprehend drawings i.e. ground plans, sections and lighting plotsAbility to sketch by hand to communicate ideas or requirementsExpert in budget management, vendor management, client communication and conflict resolutionGeneral understanding of Labor and Safety RequirementsAbility to lead and work well with a teamExtensive travel, including international travel, may be requiredPhysical demandsMust be able to remain in a stationary position for extended periods of time.Extensive typing required.The employee may occasionally lift and/or move up to 20 pounds.Must be able to communicate effectively by listening and in both written and verbal forms.Required education and experienceBachelor’s degree in Business Administration, Operations Management, Finance, or equivalent education or experience. Technical education and/or training in own product discipline(s)5+ years experience working in the entertainment industry2+ years of project management experience1+ years of staff management in a supervisory or event management roleExperience of preparing and managing to tight budgets.OSHA 30 card preferredAdvanced knowledge of Microsoft Office Suite, Salesforce, and asset management systemThe pay range for this position is estimated to be $90,000-$120,000.
