Click on How to Apply POSITION: Administration Specialist JOB STATUS: Full Time, 40 hours per week REPORTS TO: Executive Director BASE PAY: $17-20 Hourly+ Benefits (401K) SUMMARY OF DUTIES: The Administration Specialist Oversees the day-to-day operations of the Chamber and provides supervision over the front office. This role manages the financial activities of the Chamber; is responsible for accounts receivable/payable, payroll data, processing employee benefits, supporting audit preparation and reports, annual budgets, managing cash, human resources, and Finance Committee reporting. This position also is responsible for maintaining and updating CRM database for memberships and events, keeping dates posted on the community calendar, contracting dates for events with venue, and ensuring all invoices are created and sent out in a timely manner. This is a new position to enhance the services provided by the Greater Bartow Chamber of Commerce. Individual must be self-motivated, results-oriented and a clear focus on quality customer support; possess time management skills and comfortable dealing with a broad spectrum of business industries and people. Responsibilities include, but are not limited to: Handle all accounts payable and receivable. Oversee the auditing process and handle internal controls. Assist the incoming President and Executive Director with preparing the annual budget. Manage contracts and help provide oversight of requisitions and purchases. Prepare all financial reports for the Chamber Board of Directors and Executive Director. Be responsible for HR functions including payroll, employee benefits and on-boarding of new employees. Attend and be actively involved in appropriate Bartow Chamber of Commerce events, programs and organizations including weekly staff meetings. Maintain and update CRM database for memberships and events. Maintain community calendar. Be able to explain benefits and sell memberships to those that drop in due to interest in the Chamber. Manage the use of the conference room with internal and external uses on the shared calendar. The Administration Specialist may work some weekends and a non-traditional work schedule, including overnight travel; attend conferences and or training. Performs other related duties as required. PHYSICAL FUNCTIONS: Tasks involve the ability to exert very moderate physical effort in light work, typically involving some combination of stooping, kneeling, crouching, and crawling, and which may involve some occasional lifting, carrying, pushing, and/or pulling of objects and materials of moderate weight (12-25 pounds). MINIMUM QUALIFICATIONS: Bachelor's degree or equivalent experience; previous chamber or sales experience preferred; success identifying and closing new customer accounts; ability to meet and exceed assigned revenue objectives; presentation skills, both verbal and written; face-to-face and telephone communication skills; customer relationship and selling skills; computer skills, familiar with Microsoft Office, QuickBooks and sales management database systems. Must have transportation and be willing to use vehicle to transport event supplies as needed. Compensation Structure: This is an hourly position with 401K after 90-day probationary period, 2 weeks of paid vacation after 90-day probationary period and with prior approval, sick time as needed, and holiday pay.
