Coordinators are highly collaborative and great communicators. They are responsible for facilitating program and regional meetings and implementing human-centered programming across all levels of programming. Coordinator responsibilities may include supervision, grant reporting, and ensuring smooth operations at service locations in support of the Program Manager. This position is a Coordinator II for the Economic Equity Program in the Community Based Services Department which primarily supports participants in accessing fuel services. ESSENTIAL FUNCTIONS: Develop and implement a plan in collaboration with the Economic Equity Manager Ensure reporting requirements are in compliance with grant documents Develop proposals for funding, using supportive data in coordination with Economic Equity Manager Use Go-Engage to track participants' progress and assess programmatic utilization Provide expert feedback to Economic Equity Manager about the progress, flow, successes, and barriers of the program Prioritize work effectively, including, at a minimum, providing quality services, completing paperwork to meet deadlines and complying with program/grant requirements Market program to ensure public awareness; develop and update program marketing and outreach plan; utilize social media and NEKCA Community Engagement Manager for programmatic outreach Oversee recruitment and enrollment of participants in the program Attend and participate in staff, agency, and community meetings deemed necessary for job performance Recruit, schedule, and train volunteers for program needs Design oversee and facilitate access to trainings, coaching, and services for participants DUTIES AND RESPONSIBILITIES: Review all fuel and furnace repair/replacement applications completed by staff. Make sure all applications are completed in their entirety and in order. Make sure all required documentation from the client is obtained and with application. Verify and initial Federal poverty level for each application. Utilize the state ACCESS platform to check income and benefits for participants. Approve or deny all applications within 24 hours of receiving application. Receive and distribute After-Hour Requests. The Crisis Fuel Coordinator will be the point person for the After-Hours staff to send all after-hours assists to. The coordinator will then need to distribute the referrals to the appropriate staff (depending on location) for completion of paperwork and obtaining required documentation. Document all applications and invoices received. Complete spreadsheet for ALL applications received, whether approved or denied. Keep track of tickets (invoices) received for each assist. There will be multiple invoices for each assist, and the crisis fuel coordinator is responsible for making sure the amount of fuel being delivered does not exceed the number of gallons allowed for authorization. Spreadsheet needs to be updated to reflect the actual amount spent for each assist when each ticket is received. The Crisis Fuel Coordinator is responsible for updating all crisis fuel staff with any information obtained in the crisis fuel coordinator meetings. Updates, changes, or any other pertinent information regarding the crisis fuel season. The Crisis Fuel Coordinator is responsible for training all staff in procedures, protocols, and completion of applications. Complete and submit accurate Crisis Fuel reports to the state. Perform intake for Crisis Program, Warmth, CSBG, and any other energy assistance funded programs. Determine and verify income for all applicants in accordance with all program requirements. Order fuel from designated vendor for clients whose application has been approved
