Position Summary: The Donations Coordinator is an exempt, full-time, benefits-eligible employee of House of Ruth Maryland (HRM), responsible for receiving and distributing in-kind donations for direct services and resale with the assistance of volunteers, and assisting with stewardship for in-kind donors and third-party events. In-kind donation coordination includes evaluating and appropriately sorting incoming donations; storing and inventorying goods for HRM direct service clients and Ruths Closet resale, transporting and distributing donations and coordinating garment-recycling pick-ups. The Donations Coordinator also communicates with donors and members of the public to relay agency in-kind needs, appropriate information for third-party fundraising events, and stewardship communications for in-kind and small gift donors. Additional duties include inventorying and organizing donation spaces, replying to donor inquiries, and appropriately thanking donors. To assist with these tasks, the Donation Coordinator must work in coordination with the Volunteer Coordinator to provide training, scheduling and supervision of volunteers. The Donations Coordinator must exhibit strong organizational and time management skills and be capable of engaging effectively with people from diverse backgrounds. Primary Responsibilities: In Kind Donations and Third Party Event Management: Receive donations from individuals, businesses and organizations at the Community Engagement Center location; greet donors, counsel donors on acceptable items, help move donations inside, offer receipts and thank them for their support. Current donation drop-off hours are Tuesdays and Thursdays, 12-5 PM. Evaluate and appropriately sort incoming donations following guidelines for items acceptable for HRM clients for resale online, or for recycle. Maintain an inventory control system and orderly spaces at the CEC, Admin donations closet and rented storage unit. Maintain the appointment calendar for donation pick-ups, drop-offs and third party events. Coordinate with appropriate HRM staff to determine urgent agency needs and the timely exchange of commodities. Fill requests for donated goods from HRM client-serving staff. Communicate with potential donors to respond to questions, informing donors of urgent agency needs regarding third-party fundraisers and in-kind drives. Coordinate with Amazon and other companies to schedule regular pick up of donations. Represent HRM in the community for fundraising/in-kind donation events at third-party events. Assist the Events Specialist with coordination of donations during the Fill-The-House and Adopt-a-Family programs. Distribute excess donations not needed to other charitable organizations and/or coordinate pick-up for garment and shoe recycling. Maintain open communications with the Volunteer Coordinator for group volunteers and long-term individuals to assist in sorting/transporting donated goods as well as attending third-party fundraising events Supervise volunteers ensuring appropriate coverage at the CEC Donation Center and at third-party events. ```{=html} ``` - Administration and Donor Stewardship ```{=html} ``` - - Regularly report donor information from Appointlet donation appointment bookings as needed for agency use. - Notify DB Admin of exceptional items and important in-kind donors to enter into the Blackbaud/RE database. The Development team will send a thank you/donation acknowledgment letter. - Provide paper receipts for exceptional items and important in-kind donors. - Communicate to the Marketing Manager any urgent donation needs when inventory is critically low. Other duties as assigned Experience/Requirements: High school diploma required, Associate or Bachelors degree preferred Superior organization skills and attentio to detail regarding work and storage space Excellent customer service skills required, experience working with volunteers a plus Excellent writing and computer skills required, including Microsoft Word and Excel as well as email and calendar programs Must be able to physically lift and carry 30-40 pounds and be able to stand for up to an hour at a time []{style='font-family:C '}
