Description Job Summary: The Marine Biological Laboratory (MBL) is seeking an experienced Research Administrator to join our team. This role is integral to supporting Principal Investigators (PIs) in both sponsored and non-sponsored research administration. The successful candidate will work closely with the Director of Research Administration (DRA) and the Director of Sponsored Programs (DSP) to manage the administrative aspects of pre-award and post-award processes. Key Responsibilities: Pre-Award Services: Assist PIs in developing federal and non-federal grant proposals. This includes interpreting sponsor guidelines, budget development, drafting administrative sections, and ensuring compliance with all sponsor requirements. Post-Award Management: Support PIs in managing grants, sub-awards, contracts, gifts, and other awards. Monitor budgets, prepare financial reports, and ensure alignment with award terms. Audit and Compliance: Maintain knowledge of federal and non-federal grant rules. Assist in preparing documents for audits, including Uniform Guidance audits. Budget Coordination: Coordinate the annual budgeting process for assigned PIs, monitor budget execution, and update spending forecasts. Personnel Support: Collaborate with the Office of Human Resources and other departments to manage staffing and HR-related issues for research projects. Policy Communication: Work with the DRA and DSP to communicate MBL policies and practices to PIs. Qualifications: Education: Bachelor's degree with at least two years of experience in research administration, preferably in a non-profit or academic setting, or an equivalent combination of education and experience. Skills: Proficiency in financial and administrative software (FileMaker Pro, Excel, Word, etc.), knowledge of basic accounting principles, and experience with federal grants (NIH, NSF, etc.). Abilities: Strong organizational, interpersonal, and communication skills. Ability to work under pressure, manage multiple priorities, and collaborate with a diverse range of stakeholders. Vacation Time: Employees accrued based on years of service, beginning with 12 days/year. Sick Time: Employees accrue 13 sick days/year. Accrued paid time off is pro-rated based on scheduled hours. Holidays: 10 paid holidays per year plus 2 floating holidays. Flexible Spending Accounts: Employees may make pre-tax contributions up to the yearly IRS limit for health care expenses and for dependent care expenses. The plan is administered by London Health. Tax Deferred Annuity Plan: Employees may make pre-tax or after-tax contributions to a TIAA account up to the IRS limit. MBL Retirement Plan: The MBL contributes 10% of salary to a TIAA Retirement Plan account. Eligibility is two years of service, however service at other government or non-profit institutions may count toward this requirement. Contributions are immediately fully vested. Employee Assistance Program (EAP): The MBL offers an EAP which provides free and confidential counseling to employees and family members. The program is administered by New Directions Behavioral Health.
