The Human Resources Assistant assists with the administration of the day-to-day operations of the Human Resources department. We are looking for an individual who is able to multi-task and work independently with attention to detail. This position is a full time, 12 month position working on-site. QUALIFICATIONS: Associate degree from an accredited college or university with a major in Human Resources or a related field. Equivalent experience will be considered in lieu of degree. 2-3 years of general business office experience, Human Resources experience preferred General knowledge of employment laws and regulations Effective oral and written communication skills Excellent organization and prioritization skills Attention to detail Strong communication skills and ability to speak and write with precision and accuracy Must be able to identify and resolve problems in a timely manner Must have positive attitude and commitment to delivering a high level of service to staff Excellent computer skills, including Word, Excel, Google Workspace (docs, sheets, forms, slides.) Able to exhibit a high level of confidentiality REPORTS TO: Human Resources Director SUPERVISION:None ROLES AND RESPONSIBILITIES: While actual roles and responsibilities will vary depending on individual circumstances, the Human Resources Assistant will generally be required to perform some or all of the following tasks. Note that this list is not all-inclusive and that the Human Resources Director may also assign other tasks they deems appropriate. Assist in administering programs, procedures and guidelines for the Human Resources department. Checks references of potential new hires but may also assist with other aspects of the recruitment process, as needed; including responding to applicants, tracking applications, scheduling interviews and attending job fairs as needed. Follows up with new hires to ensure required paperwork is completed in a timely manner and establishes the personnel file for all new hires. Processes end of employment paperwork and ensure end of employment checklist is completed. Input new hire information in HRIS databases and makes necessary updates and changes to keep database current and accurate. Uploads documents to employee accounts in HRIS. Sends necessary correspondence for any employee payroll changes to the Business Office in a timely manner. Scans various employment records and sends to Business Office for payroll processing. Organizes and uploads necessary documents on shared networks Creates accounts for new employees in the Time Management system and notifies employees when accounts have been created. Trains new employees on how to use Time Management system and provide general support of the Time Management system by assisting employees in using the system, resetting passwords and correcting errors. Monitors time sheets for accuracy and notifies employees each pay period to enter time and/or make corrections as needed. Runs periodic reports from HRIS system, including but not limited to; monthly earned time report, insurance enrollments, incentive reports, and unpaid reports. Prepares and provides mandatory notices to employees; including COBRA, unemployment and exit interview information as needed. Assists in keeping employee records up-to-date by processing employee status changes in a timely manner. Maintains personnel files in compliance with applicable legal requirements and completes all Human Resources filing in a timely manner. Processes benefit enrollments, changes and terminations of participants in all benefit plans and programs. Answers the main phone line for the Human Resources Department and directs questions as needed. Serves as main point of contact for staff visiting the Human Resources Department and answers employee questions. Assists employees with general questions regarding the benefit programs and the enrollment process. Maintains the Human Resources notification board and ensures information is updated in a timely manner. Assists in the employees with general Human Resources and employment related questions. Assists in planning employee celebrations and recognitions, including events such as the holiday party, end of year celebration, monthly birthday celebrations and various other events. Assists in performing various research of HR topics, as needed. Prepares Family and Medical Leave and Paid Family Medical Leave packets, sends to employees and track leaves of absence paperwork. Maintains and secures background check information and I-9 forms. Reviews and organizes documents for annual purge according to employment record keeping guidelines and laws. Files mandatory employment forms and tracks receipt of forms and required paperwork Completes requests for employment verifications for various agencies as needed. Maintains and updates standardized forms as needed. Updates, organizes and maintains HR database; including updating and running attendance reports, forms, letters and other misc. documents Additional Requirements Performs other appropriate duties as assigned; Cultural Standards Establishes and maintains cooperative and effective working relationships with all members of school community to carry out responsibilities; Interacts professionally with a diverse range of constituents; Maintains an attendance record that meets or exceeds an acceptable standard as defined by ACS policy. Presents a professional appearance by adhering to ACS dress code. Is actively engaged in job/career growth by attending inservice programs, professional development, educational courses and seminars. Actively listens and responds in a respectful, non-confrontational manner to the opinions of others. Fosters a positive attitude in the workplace. Maintains and respects strict confidentiality of any sensitive information related to Atlantis Charter School, its faculty, staff and students. EVALUATION: Evaluation of the Human Resources Assistant will be conducted by the Human Resources Director. TERMS OF EMPLOYMENT: 12 month position WORK ENVIRONMENT Ability to walk, sit and stand for long periods. Regularly uses computer keyboard, requiring eye-hand coordination and finger dexterity.
