Apply to join New Era's team Position SummaryThe Mailroom Operations Administrator will be responsible for coordinating New Era Cap headquarters' shipping, receiving, and mail distribution functions for internal and global operations while ensuring the highest level of customer service and satisfaction for internal customers. The Mailroom Operations Administrator is an individual contributor who operates autonomously to ensure mailroom operations run efficiently to support critical business needs. ResponsibilitiesCoordinate the receipt of all incoming air, ground, product, and LTL shipments for headquartersOversee the process of receiving, tracking, scanning, notifying, processing, and distributing shipments to internal customersManage the receipt, sorting, processing, and delivery of USPS mail and interoffice mail to all internal customersCoordinate the processing and posting of all outgoing USPS mailCoordinate the processing and shipping of all outgoing air, ground, and LTL shipments for internal customers, including verifying and packing items according to specifications and providing tracking information as neededPartner with stakeholders and vendors to anticipate and resolve unexpected issues, minimize interruptions, and avoid shipment delays Coordinate and assist with special mailings, tradeshows, and special projects, ensuring timely and accurate completionManage inventory of office and shipping supplies to maintain adequate stock levels, anticipate needs, and replenish supplies as necessarySpearhead the process of vendor creations, maintaining accurate records and ensuring compliance with company policiesFacilitate work orders and purchase ordersEstablish standard operating procedures and draft office-wide communications to streamline processes Recommend and implement process improvements Maintain a clean, organized, and efficient mailroom and loading dock areaEnsure employee needs are met in an office environment, promoting a positive workplace culture and enhancing overall satisfactionKeeps all sensitive matters confidential Other duties as assignedKnowledge, Skills and AbilitiesAbility to provide guidance and direction to others in a positive and actionable mannerSkilled at taking initiative to ensure operations follow proper procedures, takes proactive corrective action as neededAbility to meet deadlines in an environment with fast changing priorities and manage time effectively Ability to communicate effectively when speaking and writingAbility to work in an organized manner under pressureStrong problem-solving skillsDemonstrates autonomy when making decisionsSuperb customer service skillsEnthusiastic positive person who embraces work with a sense of urgency and persistenceMust be punctual and possess a strong work ethicProficient in Microsoft Office-Outlook, Word, Excel Ability to work standing most of the timeMust be able to safely use a pallet jack along with other mailroom tools and equipmentMust be able to lift 50 lbsEducation and ExperienceAssociates Degree required. Additional experience will be considered in lieu of degree.One (1) to Three (3) years of experience in a professional office mailroom setting requiredValid driver's license required Knowledge of SAP and Concur systems preferredTravel Requirement0% to 15%; domesticThe salary range for this posted position is $21.00 - $25.00 (plus bonus & benefits) and pertains to candidates located in Western New York.
