Job Summary The Psychiatric Scheduler is a nonexempt position responsible for scheduling appointments for psychiatric services. Other tasks are assigned as needed, that include scheduling interpreters, scheduling psychiatric evaluations, scheduling IOP appointments, working closely with psychiatric services team, intake team, as well as front office team. Essential Responsibilities and Metrics Maintains provider productivity at 70% Schedules appointments for patients by phone, schedules these appointments following physician and agency protocols and patient preferences in the EMR Manages provider case load to ensure all assigned clients are active in service Coordinates with IOP department to schedule clients evaluations and follow up appointments Completes weekly and monthly scheduling audits to track provider productivity goals Ensures Josselyn maintains at or below target cancellation rate by rescheduling and providing other ideas for mitigation of canceled hours Obtain accurate and complete patient demographics and information, including insurance information Maintains scheduling system so records are accurate and complete, and can be used to analyze patient/staffing patterns Retrieve and process any other incoming correspondence/requests from other facilities or referring physicians Ensures that updates (e.g., cancellations or additions) are processed in EMR in real time Communicate as needed with physicians and other staff about any patient concerns/issues related to scheduling. Consults with Assistant Director of Clinical Operation about any system problems Uses customer service principles and techniques to deal with clients calmly and pleasantly. Does the best to their ability to meet clients' needs while following clinic protocols Meet team and personal benchmarks and goals set by management in regards to calls and call statistics Perform other various duties as assigned Qualifications High School Diploma, Bachelors degree preferred Minimum two (2) of experience in an appointment scheduling position, preferably in medical practice setting Knowledge of insurance information and experience with an Electronic Health Record (EHR) is preferred Experience in a mental health practice is a plus Knowledge of medical practice protocols related to scheduling appointments Knowledge of computerized scheduling systems Knowledge of customer service principles and techniques Skill in communicating effectively with physicians about scheduling preferences Skill in maintaining master appointment schedule via manual or computerized means Skill in producing reports about appointment patterns as needed Ability to communicate calmly and clearly with patients about appointments in all circumstances including when they are urgent or emergent Ability to analyze situations and respond appropriately Ind1
