General Description Meets Agency Mission by providing administrative support in facilitating nutrition services for consumers in the Title XIX Program. Essential Functions Facilitate program services delivery for consumers in the Title XIX Program Provide administrative support for case managers as it relates to the Home Delivered Meals Program Facilitate confidence in Administrative Assistant 1, and therefore the Agency and programs Protect consumers and reduce Agency risk Provide excellent customer service in a professional manner Facilitate program services delivery for consumers in the Title XIX Program Provide database support by verifying, entering, and updating data related to Home Delivered Meals Program participation, and run reports Verify accuracy of Home Delivered Meals count in agency databases to ensure accurate billing Enter, retrieve, and track program statistics and other data for Title XIX consumers Coordinate and expedite Home Delivered Meals Program paperwork flow through the Unit Compose documents, letters, reports, etc. and complete general office work such as copying, filing, file preparation, etc. Provide administrative support to case managers as it relates to the Home Delivered Meals Program Monitor and process program referrals and forms to initiate, change, suspend, and terminate Home Delivered Meals service Review and verify accuracy and completeness of participant information and support documentation, research multiple agency databases to obtain and enter missing data Communicate with Title XIX Program staff to verify consumer eligibility for services; communicate and resolve system discrepancies; complete forms to initiate, change, suspend, and terminate services Monitor and track case actions related to home delivered meals services, follow up and escalate, as needed. Job-Specific Skills Administrative support, including general knowledge of database programs, data entry, report generation and accuracy Knowledge and experience of general office programs, such as word processing, publishing, basic spreadsheets, TASC, GetCare and State of Oregon systems Ability to multi-task, track, and follow-through on assignments Ability to maintain high confidentiality Ability to learn agency nutrition program and processes Ability to navigate Oregon ACCESS database Ability to prioritize own work Flexibility to change priorities and focus Knowledge of rules around mandatory reporting. Secondary Outcomes None Supervisory Responsibilities None Required Experience: Minimum Qualifications - Experience and Education A qualified applicant will have a minimum of four (4) years of equivalent combination of education and/or experience which demonstrates the knowledge, skills and abilities required. The following is preferred but all qualifications meeting the minimum requirements will be considered: Associate's degree in office technology, business administration, or other related studies. Plus 2 years of related experience Ability to secure and maintain a driver's license valid in the state of Oregon, or an acceptable alternative means of transportation Successful completion of a background check Work Environment/Physical Demands This job is performed primarily in the office, in a cubicle environment, using general office equipment and includes substantial sitting with noise and interruptions. May require infrequent travel within the five-county service area for meetings. Travel requires driving an Agency car or employee car. These essential outcomes require regular sitting, talking, hearing, computer use; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 35 pounds. Contact with the public in home or office environments may risk exposure to irrational/hostile behavior, contagious diseases, or contact with domestic animals.
