JOB REQUIREMENTS: Milwaukee School of Engineering (MSOE) invites applications for a full-time Administrative Assistant to join our Career Connections Center team. The Administrative Assistant supports day-to-day operations and administrative support to the Career Connections Center (CCC) team. As the first point of contact for the department, the Administrative Assistant greets people in-person and through telephone and/or digital correspondence (e.g. email) and interacts with employers and students in a friendly, approachable, positive, and professional manner while being committed to exemplary customer service. Using excellent time management and organizational skills, the Administrative Assistant successfully manages multiple tasks in the office simultaneously. This position plays a significant role in supporting MSOE's Career Connections Center in achieving its vision, mission, and goals. Essential Job Functions Support the CCC team through a variety of administrative tasks including, but not limited to, managing calendars, scheduling meetings, scheduling student appointments, making room reservations, tracking expenses, making travel arrangements, sorting and delivering mail, ordering food service for events, maintaining office supplies, and ensuring smooth office operations. Oversee office operations, accounts payable, Visa monthly reports and inventory. Respond to and direct employer and student questions and related requests for information via email and/or phone to the appropriate CCC team member and provide assistance in all aspects of the Career Connections Center. Create, update, and implement effective and timely workflow documentation for all programming and events. Develop and maintain relationships with other campus units, such as catering, IT support, facilities, administration, and room reservation staff, for smooth delivery of exceptional service to all stakeholders. Collaborate with the CCC team for external employer communications planning, and campus visit planning/scheduling designed to increase employment opportunities for students and alumni. Assist with planning, organizing, and promoting employer on-campus recruiting efforts (e.g., career fairs, information sessions, information tables, employer networking events, and on-campus interviews, including POC for inquiries, and support). Manage and administer career fair registration invoicing. Establish and maintain a detailed database of corporate contacts, company interview dates, recruiting activity, and schedules to share with the CCC team in real time. Assist with scheduling and providing logistics for student focused events. Manage donations, inventory, display, and student use of the Career Closet. Respond to general student inquiries and provide assistance in all aspects of the Career Connections Center operations in support of office and university strategic plans and goals.
