Related service Coordinator JobID: 242 Position Type: Administration/ Coordinator Health Services Date Posted: 9/22/2023 Location: Manhattan Campus COORDINATOR OF SUPPORT SERVICES Qualifications: Baccalaureate Degree in Administration and/or three years experience in related field Experience in management Sensitivity to the needs of residents/consumers/students An ability to, or expertise in relating to employees of widely varying backgrounds Highly developed management and organizational skills Valid Drivers License Accountability Accountable to the Chief Financial Officer Specific Responsibilities Programming Develops departmental policies and procedures to be utilized by the following departments: Maintenance Janitorial Purchasing Services Supply Services Supervision Supervise all Support Services personnel for compliance with policies and procedures. Inspect buildings and grounds daily for any needed repairs or immediate problems - completes, analyzes and monitors checklists system, where appropriate Maintains work order system for department. Maintains weekly and daily schedule for department personnel. Ensures that all department personnel meet required standards and are inspected daily. Supervises conducting of fire and other emergency drills and agency inspections during the year. Attends meeting of related departments Coordinates consultants and contractor, as needed, for repairs and renovations. Supervises monthly departmental budgeting system program and ensures ordering procedures. Ensures maintenance of departmental monthly inventories. Responsible for maintenance of hardware and software inventory system in conjunction with fiscal department. Responsible for the maintenance of supply areas. Upgrades physical facilities in accordance with OMRDD, SED, DSS, and other regulatory and licensing agencies guidelines and procedures. Makes recommendations for improved facility operations and safety - implements such as approved. Maintains updated Support Services Manual for all policies and procedures of Support Services Department. Maintains Safety Program for staff and consumers, inclusive of all necessary MSDS, DOH, OSHA, and other relevant regulations. Maintains in-service training program for all staff in department. Maintenance or assisting with campus vehicles/equipment as necessary to ensure safety and overall up-keep of these. C. Evaluation Approves or disapproves all materials requested to be ordered by department. Evaluates performance of Support Service personnel Approves of hiring all Support Services personnel D. Fiscal Planning Evaluates hours worked and overtime expended for Support Services personnel and makes recommendations to Chief Operating Office/Chief Executive Officer Complies with budgetary requirements General Responsibilities: On call 24 hours a day/7 days a week. Assumes other additional responsibilities as assigned by Chief Financial Officer or designee Participates in in-service training Follows Hawthorne Foundation Inc. policies and procedures Ensures the safety and welfare of all consumers at the Hawthorne Foundation Inc. Physical Requirements Sitting, standing, bending, lifting and moving intermittently during working hours Must be able to cope with emotional and mental stress of the position Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of the position can be fully met. Must function independently, have personal integrity, and have flexibility and the ability to work effectively with other personnel.
