9175BR Position Title: Senior Staff Specialist Organization: Center for Campus Life Job Responsibilities: Overall administrative support for the Director, the Campus Life Senior Leadership Team, and Student Government. Coordinate and schedule appointments and maintain Director's calendar; assist with and generate correspondence and departmental mailings; create and assist with presentation materials; assist with publication revisions; coordinate travel arrangements; maintain files. Track and maintain compliance related documentation for department and SG; review time sensitive/high-level deadlines and tracking for department and/or divisional reports. Coordinate and implement the logistics of major events in the Center for Campus Life/SG which may include but are not limited to, campus wide programs serving 2500 or more participants, department retreats and on-going meetings, training days, and celebrations and receptions for center, division, and university. Provide personnel management for student staff including hiring, training, supervising and evaluating a student team that provide in-depth resource and referral support, serve as courteous greeters for the office, and provide informed and accurate responses to phone inquiries. Provide support for all hiring process for Student Government including 9 Cabinet members, 15 Senators and 12-13 undergraduate student employees. Manage the main Campus Life and SG office spaces and operations, office space set up, reception staffing, central workspace assignments, appearance, and organization, storage spaces, and staff office turnovers/prep for new occupants. Process and documentation oversight for staff and department including HR support, coordinating administrative functions for position replacement including posting of positions, search advisory team support, appropriate closing of processes, and documentation associated with hiring procedures. Designated custodian of departmental record-keeping by Director; work with the Office of Legal Affairs and Compliance Office to ensure proper handling of sensitive and confidential student, event, and personnel records for current and former center staff members and events. Follow and stay current with RIT document and record-keeping policy and expectations. Provide leadership and educational awareness to staff and students in developing/supporting an inclusive/diverse community based upon the recognition of student rights and academic goals to foster learning and growth. Participate in department, division, and university committees and seek professional development opportunities as appropriate. Work Location: Henrietta Campus - 100% Job Summary: Reporting to the Director of the Center for Campus Life, this position provides day-to-day administrative support to the Center for Campus Life and Student Government (SG). This position will: Provide support for all Campus Life and Student Government inquiries and information, making appropriate referrals and directing questions and communications to the appropriate functional areas. Manage the office facilities and administrative operations for Campus Life central department suite and SG suite, inlcuding monitoring and maintaining the supplies and equipment, maintenance of appropriate office physical environment, and department record and file management. Provide administrative support for the Director of Campus Life and their Senior Leadership Team, assisting with daily logistical and operational planning for the department and the various programs, services, and events offered by each functional area. Provide daily operational support in addition to special program/event support for the Student Government Cabinet, Senate and Administrative Advisors. Provide aministrative support for the Sr. Associate Director for the Campus Life Complex regarding functions relation to staff and student employment, including position postings, search committee support, employee onboarding procedures, and systems access requests. Serve as the technology coordinator for the department to provide oversight of technology purchases, inventory, and basic training. Provide personnel management & coordination of all hiring processes for Student Government. Supervise a student team including 2-3 undergraduate students and 1 Graduate Assistant. This position requires a student-centered individual with excellent verbal and written communication skills, strong interpersonal skills, and strong administrative, organizational, and problem solving abilities.
