Position Summary: The Benjamin N. Cardozo of Law is looking for an Office Coordinator, Grade VIII to work within the Office of Faculty Services. The Office Coordinator will provide general administrative support for faculty and other related staff members, assisting with both day-to-day tasks and longer-term projects.Position Responsibilities:Assist faculty members with all course-related tasks, such as setting up Canvas pages, posting documents to Canvas, ordering course books and materials, preparing seating charts, rosters, and flashcards, posting office hour information, distributing course materials, entering attendance for courses, scheduling make-up classes, collecting assignments, and facilitating grading.Prepare and maintain the classrooms with supplies needed for the beginning of and during the semester (e.g. chalk, dry erase markers, erasers, blank seating charts, etc.), and coordinate the ordering of office and classroom supplies.Arrange logistical details for faculty events, talks, and conferences, as directed by the supervisor, such as speaker travel, hotel bookings, room reservations, catering, and AV requirements.Manage incoming and outgoing communications including mail, email, and phone calls, giving or facilitating a timely response, identifying the appropriate parties to whom communications should be routed, and appropriately flagging urgent matters.Assist with edits to the Cardozo website, including faculty bios, the faculty resource page, and the Registrar's pile and maintain related records, such as course book lists and attendance records.Assist with form and report completion and submission as needed (e.g. travel reimbursements).Maintain calendars, including those for make-up classes and adjunct offices.Provide general support for the Dean's Office and Office of Faculty Services (e.g. cover the front desk and main phone if others are unavailable).Manage and maintain faculty office and other building signage.Maintain and keep stocked the 5th and 10th-floor pantries, including ordering supplies as needed.Act as a liaison between the Senior Director of Faculty Services and all others, exercising judgment in performing assigned duties, and with an understanding of the programs and procedures of the school and university.Perform other related duties as assigned.Experience & Educational Background:Bachelor's degree and at least 5 years of administrative experience are required.An equivalent combination of education and experience will also be considered.Skills & Competencies:Must be exceedingly well organized, flexible, and able to work both quickly and accurately, with careful attention to detail and exercising good judgment and initiative.Must have excellent communication and interpersonal skills and be able to interact with staff, faculty, and students (at all levels) in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful, and efficient; a high level of professionalism and discretion is crucial to this role.Must possess strong knowledge of Microsoft Word, Excel, and other Office Suite programs and Adobe Acrobat. Familiarity with Canvas and SeatGen preferred.
