Electronic Document Coordinator Print ( Apply  Electronic Document Coordinator Salary $48,000.00 - $50,000.00 Annually Location Mount Laurel, NJ Job Type Full Time (35 hours) Job Number 01155 Department Office of Information Technology Opening Date 07/18/2024 Description Benefits Questions Description The Electronic Document Coordinator, part of the Technology Support Services team in the Office of Information Technology, provides technical support and oversees college forms and records management. The coordinator manages the creation and improvement of electronic forms (eforms) for internal and public use, requiring strong proficiency in HTML, CSS, and JavaScript to enhance functionality and user experience. This role also includes planning and coordinating all activities related to records storage, retrieval, maintenance, and disposal. Specific Duties and Responsibilities eForm Development Develop and manage new eForms and workflows to support transformation projects and service needs. Collaborate with various departments to gather insights into current business processes and ensure that eForm implementations meet organizational needs. Maintain and implement a schedule of improvements to the existing library of forms to enhance functionality and user experience. Monitor eForms performance and accessibility and assist with improvement work. Stay updated on product improvements and industry best practices to enhance eForms services. Attend relevant training as required and use this knowledge to contribute to service planning for eForms. Record Management Plan, develop, and administer records management policies and programs. Coordinate and direct activities involved with records management analysis, report analysis, and supporting services. Confer with other administrators to ensure all records management practices align with established policies and procedures. Evaluate departmental records to determine retention requirements, methods of storage, and space needs. Review retention periods for compliance with federal and state regulations and process paperwork for purging or destroying unneeded documents. Additional Responsibilities Oversee internal platform user permissions and system access to ensure security and operational efficiency. Provide information, including updates, status, and completion information to managers, help desk ticketing systems, and/or users. Act as the primary contact with platform suppliers to resolve service-related issues. Develop and maintain user guides and documentation for supported systems. Escalate unresolved issues to the supervisor for further assistance. Performs other duties as assigned. OVERALL PURPOSE AND RESPONSIBILITY: The primary and most important overall responsibility of all employees is to provide service in a pleasant, helpful, and effective manner to our students and other members of the College community. Minimum Qualifications Education Required: Associate degree or equivalent training/certifications/experience. Bachelor's degree preferred but not required. Experience Required: Experience working on digital forms development and document management solutions. Etrieve (Softdocs) and RIMS (Sunrise Systems) preferred. Skills/Abilities /Knowledge /Other Requirements Create and modify digital forms and associated workflows to support organizational needs and improve user experience. Intermediate experience using HTML, CSS, and JavaScript programming languages as well as experience with WYSIWYG environments for form development. Evaluate current records retention and maintenance processes to identify problem areas and recommend effective solutions to optimize efficiency and compliance. Assess filing operations and systems across departments, providing recommendations for enhancements to ensure streamlined and effective document management. Engage with user groups to discuss form structure and workflow, ensuring solutions are tailored to meet user needs and organizational goals. Present information clearly and confidently to diverse audiences, including managers, clients, customers, and the general public. Effectively utilize various electronic and manual information systems used by the College. Additional Information INSTITUTIONAL EFFECTIVENESS: Collaborates with department members and/or the Compliance, Assessment and Research team to support planning, assessment, data collection and reporting for continuous improvement of the college.
