Fiscal Administrative Assistant 8/16/24Full Time--Manhattan Job ID: 007246 Description: Executive Headquarters (117 West 124th St) $52000 - $57000 Position Summary:The Health and Wellness Fiscal Administrative Assistant reporting to the Director of Budget Operation provides full administrative support to the Fiscal Operations in the Health Services Division. This position requires an individual who has strong administrative and communication skills, well organized, detail oriented, and is a team player. Essential Duties: Understand and promote the organization's Mission, Vision, and Core Values to ensure alignment with organizational policies and procedures. Coordinate and facilitate Division purchasing for clinical and school-based sites and programs. Review pricing and provide reports as requested. Receive incoming vendor invoices and verify accuracy, obtain appropriate supporting documentation and process the invoices in Account payable system Receives monthly open statement from various vendors, prepares reconciliation Receives and reconciles checks from Insurance providers and conducts timely submission to Fiscal department Receives and reconciles weekly fee for service's cash receipts & checks Maintains strong relationships with internal & external vendors including laboratories, pharmacies etc. Maintains up-to-date lists of contracts and agreements & establishes new vendor accounts in Account payable system Distributes, tracks & reconciles Metro cards & Petty Cash under supervision of Director of Budget Operation. Provides clerical & administrative support to our Fiscal & Account payable team as necessary Acts as a liaison with other departments and outside contacts, handle confidential information Maintains files and documentation thoroughly and accurately in accordance with company policy, HIPAA & accepted accounting practice. Complies with all privacy laws including HIPAA, etc. Actively assists Budget Director with budget preparation & year-end closing. Tracks invoice and expenses as per grants and unrestricted fund requirements; conducts expense analysis and reconciliation, prepares and analyzes financial reports. Perform other duties as assigned Minimum Qualifications: Bachelor's Degree required One to Three years working in a related field Key Competencies: Strong attention to detail and ability to multitask Strong oral and written communication skills including the ability to read, interpret, analyze and synthesize Must be highly organized and able to work with competing timeframes; attention to detail and accuracy Competency in Microsoft Word, Outlook, Excel, and PowerPoint Requirements: Job Type Full Time Location --Manhattan
