ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties are considered essential for this job classification: 1) Accurately transcribes a variety of correspondence, ordinances, resolutions, orders, proclamations, legal pleadings, agreements and various legal forms from dictating equipment, rough copy and abbreviated notes or shorthand notes; 2) Uses a word processor, computer and typewriter to prepare, compose and assemble information into proper legal form from established procedures or general instructions; 3) Files legal papers with the proper court; 4) Calendars all court dates, legal deadlines, hearings, depositions, appointments and other significant dates; 5) Answer telephones and screen calls for the attorney; 6) Answer questions, provides information and refers inquiries as appropriate; 7) Maintain schedules and calendars; 8) Sets up and maintain a variety of legal files such as litigation files, work files and research files; 9) Maintain control over the flow of documents; 10) Interacts with other City departments to obtain or give information, forms or data; 11) Maintain tickler files; greets visitors and clients; opens, scans, logs and distributes incoming mail; 12) Prepare financial claims and agreements; 13) Arrange meetings and conferences; 14) Check legal citations for accuracy; 15) Maintain various office manuals and prepares agenda summaries, resolutions, ordinances and other material needed by the City Attorney for the meetings of the various Commissions; 16) Research real property titles at the Courthouse; 17) Attend City Board meetings, take notes, prepare and record minutes of the meetings. OTHER DUTIES: In addition to the duties listed in the Essential Duties section, the employee in this classification may perform the following duties. Any single position may not be assigned all duties listed below, nor do the examples cover all duties which may be assigned. 1) Assist with ordering office supplies; 2) Take minutes of various meetings when instructed by the City Attorney and perform related duties as required; 3) Work on an as needed basis in the Mayor's office as assigned by the City Attorney; 4) Work on an as needed basis in the City Clerk's office as assigned by the City Attorney. DESIRED MINIMUMQUALIFICATIONS: (A) Education and Experience: Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be: Experience: Five years secretarial experience with at least two years as a full-time legal Education: secretarial in a public or private law office with a suitable combination of secretarial and paralegal experience which demonstrates possession of the required knowledge and abilities. At least a 12-grade Diploma. Higher education or completion of a legal secretarial training program may be substituted for some of the above experience. (B) Language Skills: (1) Must be able to read and interpret municipal files and comprehend complex instructions, correspondence, and memos in the English language. (2) Ability to prepare general correspondence and speak effectively using the English language. (3) Ability to effectively communicate and present information in a one-on-one and/or group situation to citizens and other employees of the city. (C) Reasoning Ability: Ability to apply principles of logical thinking to a wide range of intellectual and practical problems. Ability to apply theory into actual work situations. Ability to analyze office operations and derive a feasible solution to make those operations more efficient and economical. (D) Necessary Knowledge, Skills and Abilities: (1) Extensive knowledge of Corel software applications and Windows. (2) Considerable knowledge of applicable laws, ordinances, and department rules and regulations. (3) Skill in operating the tools and equipment itemize separately hereinbelow. (4) Ability to perform work requiring good physical condition. (5) Pleasant telephone personality.
