Learn more at Position SummaryWe are looking for you - dynamic, best-in-class talent - to join the IPG Mediabrands team as a Sr. Immigration and Mobility Specialist. In this role, you will assist in the mobility processes and help take our U.S. Immigration and Global Mobility functions to the next level. You will play an integral role in helping to identify ways to improve the company's mobility and visa processes to ensure consistency and integrity of information, programs, policies, and procedures. In addition, you will become a strategic partner to our SVP, Global Mobility and HRBPs and make recommendations and decisions that align with company policies and/or immigration laws.ResponsibilitiesCoordinate & manage all IPG Mediabrands U.S. immigration cases including non-immigrant (i.e., F1, H-1B, L-1A, L1-B, TN, E3, O, and B1 visas); renewals and immigrant petitions (permanent residence sponsorship)Educate and support foreign national employees (FNs), FN Manager, and HR (HR Business Partners, Recruiters, SVP, Global Mobility) about IPG Mediabrands U.S. visa and immigration policies, procedures and processesCoordinate with the HRBPs/Recruiting, external legal services provider, & foreign national to ensure compliance and timelines of required documentationTrack and maintain internal documentation for immigration/visa purposesMake independent decisions related to most effective course of action to take related to visa processing dependent upon customer & business needs as well as immigration vendor inputAdvise employees regarding restrictions for travel outside of the U.S. (based on their current visa type) and general direction related to the visa processRun ad-hoc reports such as visa & immigration, headcount, promotionsRespond to all immigration questions, review issues and employee concerns and provide counsel in regards to Company Immigration guidelines, legal requirements and proceduresShow comfort in presenting to and effectively interacting with internal clients and across departmentsEnsure compliance with all federal and state laws; Responsible for Immigration Invoicing Processes; Responsible for Public Inspection Files and AuditPartner with the Global Mobility Lead on team initiatives, global projects, development of processes and proceduresAssist the Global Mobility Lead with consultations with employees and HR contacts related to the Global Mobility process. This includes conducting briefings, responding to queries, issue resolution, etc.Prepare relocation letters, tracking and maintenance, manage external vendor invoices and assist with running cost estimatesProvide necessary documentation to all external providersManage day-to-day interactions with our external relocation services provider to ensure a smooth experience for our people - including initiating and monitoring employee cases and vendor performanceContinually improve the assignee/transferee experience Required Skills & ExperienceMinimum 3-4 years of U.S. immigration experienceAbility to work with confidential and time-sensitive informationStrong quantitative skills; MS-Excel, Office, Outlook and PowerPointExcellent verbal and written communication skills - strong customer service skills a mustProcess drivenProven ability to build collaborative relationships and be a team playerKnowledge of PeopleSoft a plusExperience working with external service providers to deliver projects and servicesAbility to work effectively in a multi-national, global team environment.Detail oriented with exceptional organizational skills and ability to prioritize workloadCross-cultural sensitivity requiredWe See You At IPG Mediabrands, we are unified behind a commitment to fostering a culture of inclusion and belonging.
