Responsible for scheduling, cancelling and confirming patients' appointments for outpatient treatment programs by direct or indirect contact with consumers and families. EDUCATION REQUIREMENTS: Minimum high school diploma or equivalent. College or business school preferred. REQUIRED EXPERIENCE AND QUALIFICATIONS: Must have at least one-year experience in a professional office setting; experience in a psychiatric or medical clinic preferred. Must have excellent verbal and written communication, along with superior organizational skills, ability to multi task and remain focused despite frequent interruption. Working knowledge of Electronic Health Records and centralized scheduling technology preferred. Experience with Microsoft programs, including Excel, Word and Outlook required. Must be able to communicate effectively with staff, clients, family, and outside agencies. DUTIES AND RESPONSIBILITIES: Schedule, cancel and confirm patient appointments and tasks. Communicate schedule changes and adjustments with all parties. Draft and send written notices through mail as related to scheduling. Receive and process scheduling information via phone, fax and mail with special attention to HIPAA privacy standards. Answer all inquiries in a timely manner. Maintain a strong customer service focus in all interactions with internal and external contacts. Track data regarding service access and 'call to service' wait times. Maintain an accurate scheduling and filing system in accordance with departmental needs. Assume clerical responsibility on an as-needed basis, including answering the phone, registering incoming patients and processing payments. Adhere to state and local regulations as well as agency policy governing personal care standards and codes of conduct. Participate in training, educational and committee projects as requested. Complete QI Training during onboarding and participate in QI refresher training as needed. Identify and implement quality improvement trainings and activities as part of professional development goals. Encourage quality improvement processes and provide consistent resources for QI and professional development Ability to cultivate a culture of inclusion for all employees that respects their individual strengths, views and experiences.
