Customer Order Specialist The Customer Order Specialist at Xylem is a vital role dedicated to ensuring the efficient processing and management of customer orders. The responsibilities encompass everything from handling order specifications to resolving customer complaints. The ideal candidate will possess strong organizational skills, communication prowess, and a comprehensive understanding of our product catalog. Key Responsibilities: Order Processing: Receive and input customer orders, ascertaining product specifications and clarifying order language for conciseness. Edit customer orders and assign appropriate statistical tabulation and commodity identification codes. Assign methods of shipment, tag information, and determine product pricing. Customer Communication: Communicate effectively with customers via telephone, email, or in-person to address delivery issues, material shortages, incorrect shipments, lost materials, pricing discrepancies, and product availability. Interface with internal departments to resolve customer issues efficiently. Technical Proficiency: Utilize MS Office and Excel proficiently to manage and process customer data. Understand and navigate the product catalog to ensure accurate information is provided to customers. Supply Chain Coordination: Generate intra-departmental inquiries regarding the availability of delinquent products and expedite as necessary. Follow up on warranty-related matters, ensuring diligent tracking of documentation and status updates. Customer Complaints Management: Handle and process customer complaints, determining the necessary actions to resolve issues satisfactorily. Maintain thorough documentation of complaints and resolutions. Special Projects: Participate in special projects aimed at creating best practices, improving processes, and developing training tools. Support Xylem initiatives as determined by management. Qualifications: Proficient use of Microsoft Office Suite, particularly Excel. Excellent phone etiquette and communication skills. Strong problem-solving abilities and keen attention to detail. Ability to understand and effectively use product catalogs. Previous experience in order processing, customer service, or a related field is preferred. Ability to work collaboratively with internal departments. Actual starting salary is based on factors such as skills, experience, location, and market conditions.
