TITLE: Office Manager/Receptionist CATEGORY: Full Time SHIFT: Monday-Friday; 8:00 a.m.-5:00 p.m. SUMMARY The position of Office Manager/Receptionist is responsible for front desk reception and answering telephones, performing clerical duties, providing administrative support to the CEO, maintaining good customer relations and referring customers to appropriate staff for assistance. The position of Office Manager/Receptionist is required to be fully knowledgeable in the areas of KTC services and products, and assure compliance with all policies and procedures. ESSENTIAL DUTIES 1. Greets customers, answers telephone and directs inquiries to the appropriate company personnel. 2. Provides effective customer service by answering customer questions; investigates and resolves problems or other issues within given authority. 3. Provides support to all areas where service or assistance is needed, including operations and account administration. 4. Processes daily incoming and outgoing mail, assists with bank deposit delivery, and performs daily office housekeeping tasks. 5. Prepares letters, reports, forms, proposals and presentations using Word, Excel, and PowerPoint. 6. Maintains files, copies and faxes documents, and orders and distributes supplies. 7. Performs official notary service duties. 8. Supports Information Security Program by preparing monthly and annual audit and filing of clean desk reports. 9. Supports Operations daily by confirming successful run of scheduled tasks, pricing updates, and software system updates. 10. Establishes client portal web access and troubleshoots issues for clients. Reviews client portal reports for client requests and errors. 11. Prepares quarterly Kentucky Tax Match report for filing with state. 12. The employee shall comply with occupational safety and health standards and all rules, regulations and orders issued pursuant to the OSHA Act of 1970, which are applicable to one's own actions and conduct. SECONDARY DUTIES The position of Office Manager/Receptionist performs duties specific to the position and other functions as assigned. SUPERVISORY RESPONSIBILITY The position of Officer Manager/Receptionist is not responsible for the supervision of any employee(s); however, the incumbent may be required to assist in the cross-training of less experienced staff members. ENVIRONMENT AND PHYSICAL ACTIVITY The incumbent is in a non-confined office-type setting in which he or she is free to move about at will. The position includes driving a personal owned vehicle approximately 5% of the time which includes exposure to the outside weather elements and moving mechanical parts. It may include some minor annoyances such as noise, odors, drafts, etc. The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to 20 pounds), driving, carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching. The incumbent for this position may operate any or all of the following: telephone, cellular telephone, copy and fax machines, adding machine (calculator), scanner and image systems, typewriter, computer terminal, laptop computer, personal computer and related printers, or other equipment as directed. MENTAL DEMANDS The incumbent in this position must be able to accommodate to reading documents or instruments, detailed work, problem solving, customer contact, reasoning, math, language, presentations, verbal and written communication, analytical reasoning, stress, multiple concurrent tasks and constant interruptions. MINIMUM REQUIREMENTS These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position. High school diploma or general education degree (GED); or 1 year of related experience and/or training; or the equivalent combination of education and experience. Preferred work-related experience consists of a financial institution operations, sales or customer service background. Financial industry related educational experience, through in-house training sessions, formal school or financial industry related curriculum, is preferred. Intermediate skills in computer terminal and personal computer operation; mainframe computer system; and word processing, and spreadsheet programs. Intermediate typing skills to meet production needs of the position. Basic knowledge of general office practices. Basic math skills; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors. Effective oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees. Ability to deal with difficult problems involving multiple facets and variables in non-standardized situations. Effective organizational and time management skills. Ability to work with general supervision while performing duties. Current STATE driver's license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.
