This includes the VP of Global Regulatory Affairs and Global Regulatory Affairs team members. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently and proactively with little or no supervision. Additional experience in managing Health Authority meetings is required.Responsible for managing calendars, scheduling meetings, making travel arrangements, preparing expense reports, taking notes and summarizing meetingsServes as an administrator to appropriate Team Channels, uploading files, keeping them up to date, and keeping the internal stakeholders informedMain point of contact and coordination for all department Purchase Orders, statements of work, and invoice tracking and following the Procure to Pay processResponsible for being proactive in identifying needs, gaps, and accordingly making proposals for improvementAccountable for their attention to detail and timely follow-up on assigned tasksResponsible for coordinating invites, logistics, and execution of Townhalls and other Regulatory Affairs team engagement eventsSupport department projects and initiatives,Developing, formatting, proofreading and upkeep of general Excel files, Word documents and PowerPoint presentationsCoordination with Legal and Compliance on managing Expert Service Agreements and any other Regulatory Affairs contracts Accountable for independently coordinating team meetings including logistics, food, travel, and other arrangementsAnswer phones and direct all incoming calls to appropriate party promptly, politely, and efficientlySetting up, maintaining files and general correspondenceProactive approach to work, striving for solutions and innovationHighly motivated toward achievement and surpassing set goalsDesire to learn and take on challenging assignmentsAbility to exercise discretion in dealing with confidential or sensitive mattersAbility to handle multiple projects simultaneously while remaining flexible to shift priorities quicklyAbility to excel in a fast-paced environment, sometimes under pressure, with a high level of professionalism is crucial to this roleProfessional etiquette in all aspects of the jobExcellent calendar management skillsMust have excellent communication skills (verbal and written).Highly organized with a strong attention to detail, clarity, accuracy and conciseness.Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).Must successfully exhibit Insmed's five (5) core values of Collaboration, Accountability, Passion, Respect, and Integrity; along with any other position specific competencies.Individuals must demonstrate the ability to interact appropriately and successfully in a dynamic and culturally diverse workplace.Handle other responsibilities as assignedQualifications:Minimum of a High School Diploma; Bachelor's degree preferredMinimum of 5 years executive assistant experience required, preferably supporting senior leadersExperience in the Pharma or Biotech industry requiredExperience in managing Health Authority meetings requiredExperience supporting simultaneously multiple executives and ability to manage their needs as required$40.38 - $56.28 an hourWe’re committed to investing in every team member’s total well-being, now and in the future.
