In this role, the successful candidate Responsible for operation of computer identification badge production and access card function, as well as photo operations. Ensures identification badge system is operated according to departmental procedures. Provides administrative support to Security Management to facilitate efficient operation of the Department. Develops financial and administrative analysis for the department as requested. Will support the Security Office Manager and Leadership Team by collaborating with various departments on security systems related project.Job Responsibilities:ID/Office Operations: Responsible for operation of computer identification badge production and access card function, as well as photo operations. Ensures identification badge system is operated according to departmental procedures. Ensures upkeep of supplies and digital camera/ lighting for the photo/ID badge printer. Ensures identification badge system is operated according to departmental procedures. Assists with the computerized data entry of Lost & Found incident reports, and Assists with the dissemination of property in a timely manner. Ensures special projects such as new House Staff and SOM orientation are administratively supported by having adequate supplies on hand. Coordinates the yearly sticker distribution for the Medical Center and all off-site locations. Assists Office Manager with scheduling & management of transportation requests for the Security Vehicles. Assists Office Manager in scheduling of executive driving assignments and brings scheduling conflicts to Office Manager to prevent service interruptions. Assists with the Lost & Found program. Assists the Office Manager and Utilizes Resource Scheduler to reserve rooms for meetings, conferences & NY state training as requested. Assists with daily functions of the Security office. Performs other departmental duties as required.Reports/BudgetDocumentation: Prepares reports and maintains statistical records as requested by Management. Assists in preparing miscellaneous reports for annual budget as requested. Assists Office Manager with petty cash reimbursements as well as state license fee reimbursements for employees. Assists Office Manager with Submitting Weekly J-Point Receipts recharges to Finance for reimbursements to the department Lost IDs. Monitors inventory of supplies and coordinates orders, as appropriate, with Office Manager. Initiates the preparation and needs of ID Room supply requisitions through Peoplesoft. Assists Office manager with tracking of requisitions through Peoplesoft. Assists with the compilation of data for the monthly Activity Report to disseminate to the security management team as requested. Composes related and required information in a clear and well written manner.Payroll: Coordinates the Bi-weekly distribution of payroll checks for union and non-union staff. Assistmanagement with tracking of vacations and sick days and provide aggregate analysis of sick use. Responds promptly to inquiries from managers regarding employee payroll data.Project Management:Ensures identification badge system is operated according to departmental procedures.Point person for access control/ID ops and access requests. Ensures authorized approver list is accurate and up to date for Lenel.Support:Provides administrative support to the security management team.Assists with the administrative function for the Electronic Incident Reporting System (PPM).Assist in improving the efficiency of the Security Department and the quality of performance and strategic planning efforts through planning and execution of special projects. Identifies and obtains various resources required to successfully complete each task conferring with various personnel as required. Assists in development and implementation of departmental programs. Assists with coordination for the Officer of the Month program and Officer of the Year Awards Ceremony. Assists Office Manager with organizing the annual holiday party. Supports Office Manager with the NYS DMV account, sustaining a positive balance and replenishing the account when needed. Provides status of Nuclear Regulatory Commission fingerprint submissions for background checks.Demonstrates knowledge of the organizations Service Standards and incorporates them into the performance of duties.Assist end-users on basic security software, hardware and peripheral device operation and use, including but not limited to card access technology, and security incident reporting. Maintains adequate and industry awareness of knowledge of application software used to provide a high level of support, to include but not limited to VMS and card access technology, security incident reporting, mass communication, ID card/identity systems, and visitor management systems.Responsible for maintaining confidentiality and following all security policies and procedures regarding the management of sensitive information and situations (medical record, personnel issues, investigations, public relations incidents, emergency personnel contact information, etc.). Performs other duties as assigned.Minimum Qualifications:To qualify you must have a Bachelors Degree or equivalent combination of education and experience.3 years experience in an office setting.Excellent organizational, analytical, interpersonal and communications skills is required.Knowledge of Lenel access control system and the Resolver Perspectives Electronic Incident Reporting System Must have demonstrated a high degree of self-initiative in prior work history. Ability to multi-task. The salary range for the role is $58,500.00 - $81,137.04 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
