The primary purpose of the Management Assistant Position is to be responsible for assisting PERIOP Leadership as well as interreacting with various UH departments, physicians and outside vendor/sales reps as needed. This position assisting in coordinating and administering the activities of the PERIOP SERVICE DEPARTMENT. Examples of Task included areBack up to Principal Management Assistant - phone support, meeting coordination, minute preparation, Prepare packet of meeting material etc.Interact with vendor sales reps and gather supporting documents related to purchase of equipment & supplies.Attending PERIOP Supply Chain Meeting to provide status report.Assist and collaborate with Leadership Team of PERIOP assist in tracking maintenance and service requestCompose correspondence related to purchase of equipment/supply, create and maintain database spread sheets such as Tissue License, Service Contracts, & Implant LogsMaintain compliance with Implant Tracking by sending all Implant Card to Vendor or Logging into vendor websitePrepare “Renewal Alternate Procurement” with updated pricing and product description.Attend Meetings as needed to prepare Minutes.Calendar Management and Meeting CoordinationAssist in Insurance Company Audits by providing all necessary information to support billingAnd Other duties as assigned such as record archiving,Preferred Skills Include Working knowledge Word, Power PowerPoint & ExcelOpen to learning Procurement System(s) such as ordering supplies, access and modifying invoicesAssist with reimbursement initiatives by pulling invoices, interpret invoice for correct information related to QTY and pricing. Bachelor’s Degree plus two (2) years of administrative experience in a government agency, university setting or large business office with responsibility for office management, preparation of reports, supervision of staff, etc. Additional related experience may be substituted for the degree on a year for year basis. Must be proficient in computer application as required by the department. Excellent verbal and written communication skills; thorough and accurate on a consistent basis. Ability to organize time effectively. Energetic team player that manages multiple projects.
