MAJOR RESPONSIBLITIES:% of timeCore Functions25%Oversee Legal processes: Open, organize and maintain electronic files for all litigation and other adversarial matters, update and manage internal docket reports, create and maintain quarterly litigation report(s) for auditors, and manage the legal billing process 25%Establish compliance and mitigate risk: Ensure all potential claims are promptly reported to the appropriate insurer and manages the preservation and litigation hold order process, liaising with personnel throughout the Company to identify, preserve, collect, and produce responsive materials 25%Lead litigation operations: Review, draft responses, and produce documents pursuant to third-party subpoenas and requests for client and/or employee records, prepare and sends client termination letters, and draft correspondence and other documents, including presentations and training materials. Review, investigate, and draft responses on behalf of the Company for consumer agencies, attorney general, and small claims matters; responsible for renewing and maintaining the Company's accreditation with the Better Business Bureau and other consumer agencies 25%Assess and provide Legal support: Assist in-house attorneys with litigation and other adversarial matters, including demand letters, administrative responses, and regulatory compliance, performing legal research as required. Provide support to in-house attorneys across all legal functions, including transactional matters, as necessary and assigned Performs other duties as required.MANAGEMENT AND COLLABORATION:Liaisons between Legal and other Company departments as well as outside counsel, insurance claims adjusters, and othersCollaborates with management in all functional areas of the Company, including Operations, Marketing, Sales, Accounting/Finance, Information Technology, and corporate leadership to ensure matters are completed timely and accuratelyCollaborates with various internal teams in support of updates to existing policies, procedures, and practicesCollaborates with Operations and Human Resources departments on an extensive basis with respect to litigation and adversarial matters KEY MEASURES OF SUCCESS:Effective management of litigation matters, including calendaring relevant deadlines, providing status updates for matters handled, and assisting both in-house and outside counsel with mattersEnsures document retention requirements are met for all matters, including assisting with e-discovery and document gatheringEnsures all relevant deadlines are met for matters that the Paralegal primarily handles with general oversight by in-house attorneys (i.e., small claims, consumer agency responses, and attorney general matters)Ability to streamline processes for more efficient and effective use of timeTracks, maintains, and/or improves response time for litigation and other adversarial matters QUALIFICATIONS:Bachelor's degree in a related field (Paralegal study certification a plus)Four to six years litigation experience as a Paralegal in a corporate or law firm environment, with experience in both preferredSome experience working with insured claims and insurance adjusters, especially with employment and personal injury matters, preferredProficient in MS Office products (Outlook, Word, Excel, PowerPoint, Teams), Legal Tracker, HighQ, Practical Law, Adobe Acrobat, and online legal researchBilingual - fluency in Spanish and/or French preferred KEY COMPETENCIES: Excellent communication skills and ability to communicate with all levels of company employeesAttention to detail and accuracyAbility to summarize and synthesize information, legal research, and court processesProactive mindset and ability to anticipate departmental and/or in-house counsel needsHighly organized with ability to prioritize work as necessary and handle multiple tasks under tight deadlines with significant adverse consequences if those deadlines are not metAbility to discretely handle highly confidential and proprietary informationAbility to interact effectively with employees at all levels of the organizationAbility to work independently and as part of a team, displaying a cooperative work style and positive attitude with respect to problem solvingWorking Conditions:Office environment with potential hybrid or remote work scheduleRequired to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal and extensive readingSitting stationary for long periods of timeKeyboarding: entering text and/or data into a computerRequires working with computer systemsMay require light lifting No contract of employment other than "at will" is expressed or implied and all employment and compensation with Hair Club is "at will" in that the employee may be terminated with or without cause, and without notice at any time, at the option of either Hair Club or the employee, except as otherwise provided by law
