This person will maintain a high standard of professionalism, confidentiality and discretion while interacting with the clients, team members and visitors, and in the performance of duties.Expectation to manage multiple tasks in an organized manner in order to adhere to critical timelines is needed. As a member of the Administration team, participate in required team meetings and provide frequent cross team support and coverage as needed.Schedule: Monday-Friday 8:00am-5:00pmLocation:On-site at one our of Seattle clinics. This person will be based at our Broadway location, but will travel throughout the Seattle region to offer support as needed. Our Seattle locations include Northgate, Lake City, Broadway, Capitol Hill, Belltown, Rainier Valley.ESSENTIAL FUNCTIONS AND DUTIESPerform front office and reception duties by answering multiple telephone lines, routing calls, taking messages (voicemail, Email, etc.), scheduling prescriber appointments, client intakes, and providing relevant service/program Ensure financial eligibility by processing insurance verification for clients through Provider One and state/county Schedule appointments and place reminder appointment callsCollect co-pay, medical coupons, and verify demographics and insurance Process and distribute incoming and outgoing mailRespond courteously to client and visitor requests, and assist in connecting them to the appropriate team members and services in an expeditious mannerOrder and maintain office supplies and equipment (maintain supply inventory and prepare purchase requisitions, and work orders) as neededProvide administrative support to clinical support team members and assist with special projectsProvide frequent backup to other Administration team members in various locations as neededParticipate in Sound thinking and other projects representing the Administration teamTravel to other Sound sites occasionally to provide front desk coverageAttend team and corporate meetings in other Sound locationsOther related duties as assigned by supervisor or managerADDENDUM DUE TO PANDEMICUnder special circumstances- general questionnaire screening of clients and visitors for any signs of illness before being seen by Sound clinical team KNOWLEDGE, SKILLS, AND ABILITIESKnowledge of general office practices and proceduresStrong verbal and written communication skills, along with the ability to understand and carry out oral and written instructionsStrong knowledge of Microsoft office products (Word, Excel, and Outlook).Strong attention to details.Ability to establish and maintain effective working relationships within a Comfort in relating to child and adult clients, and the ability to relate easily and positively to individuals from varying educational, professional, and economic backgroundsAbility to work effectively supporting a number of treatment roomsAbility to work independently with minimal supervision, and the ability to multi-task while dealing with unexpected cirsumstancesMaintenance of high standards for accuracy, productivity, and confidentialityPHYSICAL DEMANDSWhile performing the duties of this job, an individual must be able to sit at a desk for three or more hours a day and use office equipment, including phones and computer keyboards. Individuals must be able to engage people over the phone and in-person by voice. The individual in this Job is regularly required to use hands, reach with hands and arms, and is frequently required to stand, sit; and stoop or kneel, and may need to lift 25 pounds on occasion. The individual is required to visit various locations and walk on a regular basis. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
