The Associate performs functional and clerical support forGEARUP for Success program. The position provides student/customer services, database support, and other program supports.Student/Customer ServiceMeet and greet office walk-ins, answer telephone, schedule appointments, respond to requests and resolve problems where possible and /or refer as appropriate.Greets and provides information and assistance to students, visitors, and staff.Database SupportInput, update, and maintain program data and documents, including student academic records and student, family, and program service participation in an online database as required by grant programs.Review information and records on a regular basis. Correct information and/or notify supervisor of any discrepancy.Extract information from the database. Prepare regular and special reports as assigned.Be knowledgeable inFERPAguidelines and other appropriate policies and regulations related to student privacy and/or rights.Program SupportSchedule and coordinate all appointments, meetings. Maintain calendar for the program.Schedule travel and accommodation requirements for the program, utilizing and adhering to all college policies.Organize and maintain filing system and records for the program.Assist in preparing accounting and budget reports.Perform support functions such as scanning, the preparation of routine letters, e-mails, requisitioning office supplies.Coordinate with other departmental units in maintaining program and program services such as inventory, supplies, maintenance, repairs, mail, publicity, community outreach, etc.Assist with website, social media, and marketing content as assigned.Provide training and/or assistance to other support staff as requested.Perform other related duties as directed.Meeting and Event SupportProvide functional and clerical support for meetings, events, weekday and Saturday campus activities, field trips, college tours, etc.Responsible for reserving rooms, media equipment, processing food orders, working with the other departments for furniture set-ups.Minimum Qualifications:Education:Associate’s Degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.Experience:Two years’ experience with budgeting/accounting, preferably in a higher education environment.Knowledge/Skills/Abilities:Fluency in Spanish language is required.Ability to work in multi-project, fast-paced environment and meet concurrent deadlines.Ability to work collaboratively and to address problems through team work.Strong communication, interpersonal, and organizational skills.Must be computer literate with ability to utilize Microsoft Office at an intermediate level and the ability to learn and utilize specific higher education programs and systemsAbility to learn and apply office practices, procedures, policies, and regulations that are essential to the position.Ability to provide website maintenance is preferred.Must have ability to travel locally.Preferred Qualifications & Special Considerations:Knowledge of Monmouth County and its communities.Working conditions are generally favorable. Occasional overtime may be required.
