Effectively communicate the mission, values, and scope of the institution.Facilitates all logistics including vendor contracts, itinerary/timeline development, invitations, catering, entertainment, staffing, budget management, print materials, promotional items, identification of event theme/message/branding opportunity, audio visual, décor, signage and facility requests.Responsible for hospitality visits including ground transportation, accommodations, campus tours, entertainment and restaurant reservations. Responsible for strategizing and executing Presidential and select campus-wide events, including ceremonies, fundraisers and conferences. Assist with Commencement, which involves collaboration with all university offices.Providing exceptional customer service in a high-volume environment.Once the goals of an event have been established, the Manager oversees the implementation phase. During this process, Managers are expected to create key documents and workflows that establish expectations and deliverables. Creates all timelines, budget reports, event specs and wrap-up reports. On some assignments, the manager is responsible for the creative briefs and scope of works. Develops meeting agendas and schedules all necessary meeting appointments.Order supplies and oversee basic office operations.Supervises event volunteers and student assistants. Engage and interfaces with the President of the University, Board Members, the President’s Council and the Academic Deans to execute intuitional events.Provides guidance, council and expertise in the creative development planning process. Comprehend and learn the vision of an event is an imperative component to create events as well as having the foresight to ask specific questions, make suggestions and listen.Execute successful events to make a vision become reality. Provide suggestions to increase the value of an event with the hopes of:Increasing the number of attendees.Increasing the number of paid registrants.Promoting campus awareness.Increasing student admission.Required:Bachelor's degree and three (3) years of directly related full-time event and/or conference management experience. Event management experience, preferably in a professional hospitality or higher ed setting.Excellent verbal and written skills, demonstrating strong attention to detail, along with strong interpersonal and organizational skills.Experience with project management and customer service. Advanced skills in Microsoft Office (Word, Excel, PowerPoint), Teams and OneDrive.Preferred:Experience working effectively with all levels of staff (i.e. department key contacts, senior level executives and/or donors). Experience supervising on-site event support staff and vendors. Experience with event budget management. Experience working with event invite management databases/software systems (NetCommunity is a plus).
