We are looking for someone to assist in the operation of a centralized system of maintenance for the firm’s client files: organize, collect, and file all incoming related work; retrieve and distribute files upon request; update the Records Management database (IRM); scan documents as required; assist with special departmental assignments as needed. As a valued member of the Information Governance (IG) team, you will join a highly skilled and motivated team of Information Governance professionals. We are looking for someone to assist in the operation of a centralized system of maintenance for the firm’s client files: organize, collect, and file all incoming related work; retrieve and distribute files upon request; update the Records Management database (IRM); scan documents as required; assist with special departmental assignments as needed. ESSENTIAL FUNCTIONS:Enter information into Records Management and Document Management databasesProperly file and account for all records following specific department/firm procedures; edit existing records as requiredPrepare new filesTransfer inactive files to the warehousePrepare boxes for offsite storage; retrieve boxes as requiredResearch information on file history, activity, etc.Work on our team as a customer service representative Solve problems and ensure compliance with department proceduresTrack, organize, and retrieve files from central Records Department or warehouseAssist Information Governance Supervisor with the attorney departure processEnsure proper filing of attorney email in firm document management systemParticipate in team meetings and professional developmentAssist Information Governance Mobility Specialist with review and release of designated client records (physical and electronic) for transfer out of the firmAssist Senior Information Governance Disposition Specialist with review and possible disposition of client and firm information per established policies and proceduresContribute to the overall success of the local and firm-wide IG teamTrain new and existing employees under guidance of IG Specialist or IG Operations Team LeadPerform other work-related duties as assignedCapability to lift boxes weighing at least twenty-five pounds repeatedly is requiredSKILLS YOU CAN CONTRIBUTE TO THE TEAMOrganize and prioritize numerous tasks and complete them under time constraintsReceive and follow instructions effectively from internal and external clientsFollow up and follow throughAccomplish a task thoroughly with concern for all aspects, no matter how smallInteract effectively with all levels of personnel including attorneys, management staff, and support team using all forms of communicationCreative and proactive problem-solving within department policies and proceduresSuccessfully contribute in a team environmentShow poise, flexibility, and maintain a professional manner in all situationsCommunicate effectively with people and handle issues through to resolutionReliable and punctualWork in a multi-office environmentSucceed in a culturally and educationally diverse environmentEDUCATION AND EXPERIENCE Bachelor’s degree requiredOne year of office experience including data entry, records filing and related duties preferred; law firm experience a plusProficiency with Microsoft officeRopes & Gray is proud to offer a comprehensive Total Rewards package to our business support team members. The anticipated pay range for this role is $49,500 - $69,000, which represents our good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, education, external market data and consideration of internal equity.This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development and effective collaboration with colleagues and management.
