Position The Early Childhood Administrator is responsible for the day-to-day administration of the Early Childhood department, including paperwork for and communication related to children, employees and parents. The Early Childhood Administrator is part of the Early Childhood department's leadership team and assists with all day-to-day operations as needed. This position is primarily an office-based role but will require some time in classrooms to support teachers or provide coverage on an occasional basis. The Early Childhood Office Administrator must have excellent organizational and computer skills, be an excellent writer and communicator, be detail-oriented, enjoy working with young children, and have a positive attitude. Essential Job Functions: General Duties Maintain all children's files, including registration forms, health forms, contracts, and any other documentation required by law or by organizational policy.Maintain all teachers' files, including licenses, certifications, ongoing education, health forms, and any other documentation required by law or organizational policy.Enter all school, camp and program registrations into the Daxko software system and process payments. Monitor scheduled payments and follow-up with parents on any payment issues.Be the primary liaison to parents via phone, e-mail/Brightwheel and in person, responding in a timely fashion, answering questions and taking initiative to find answers while delivering superb customer service. Maintain an inventory of classroom and office materials and supplies, as well as food and food service materials, and place new orders when necessary.Create classroom rosters for teachers and parents, updating in a timely fashion as enrollment changes.Send information to parents via printed flyers, e-mail, and the Brightwheel app.Serve as the primary liaison for the JCC to the state's Early Learning Resource Center, including the entering of daily attendance data for the Early Childhood, Youth and Camp departments, and submitting the monthly bill.Be available at all times as a "floater" in classrooms when needed due to unexpected staff absences or to maintain proper child-to-staff rations. Monitor and ensure proper ratio coverage in classrooms throughout the day, in coordination with the Early Childhood Director and Assistant Director.Assist in conducting tours for new students and parents in conjunction with the Early Childhood Director and Assistant Director.Attend monthly staff meetings and ongoing trainings as required. Additional Duties Assist with managing all day-to-day operations of the Early Childhood program and the JCC.Ensure the health and safety of all children, and provide nurturing, responsive, quality care, addressing each children's individual needs.Create a positive, warm, individualized, nurturing, environment for children; encourage inquiry and open-ended thought.Maintain confidentiality. Minimum Qualifications: Job Qualifications: High school diploma or equivalent. Early childhood education coursework or certification is a plus.Experience working with young children (infants through Pre-K).Minimum one year of work experience in an office or child care setting.Excellent written and verbal communication and interpersonal skills. Attention to detail related to spelling, grammar, punctuation and JCC brand standards.Excellent computer skills, including Microsoft Word and Excel, plus the ability to quickly learn new software and systems.Pediatric CPR, First Aid and AED certification or can obtain it within the first three months of employment.Understanding of and sensitivity to cultural differences both within and outside the Jewish community. Familiarity with, or willingness to learn, about Jewish culture and customs.Ability to pass required state and federal background checks.
