Essential Duties and Responsibilities:The Receptionist is responsible for the smooth, professional operation of the switchboard, greeting visitors, and generally controlling the reception area.The responsibilities of this position include, but are not limited to, the following:Answering the phones, screening and forwarding incoming phone calls promptly and courteouslyReceiving visitors at the front desk by greeting welcoming, directing and announcing them appropriatelyMaintain office security by following safety procedures and controlling access via the reception deskAnswer queries from the public and refers them to the appropriate staff memberAssist with administrative project, activities as time and business needs allowAssist with Employee Check-In and Visitor Sign inOut processMaintaining a log of all deliveries that come in through the lobbyPreparing UPS packages for pickupOrder front office supplies and keep inventory of stockUpdate vacation calendar for all AdminsSorting all mail and logging in all checksStamping in the mail as neededScheduling and maintaining conference roomsLight secretarial typing as neededMaintaining all office telephone, cell and email directoriesMaintaining a log of all outgoing courier packages and scheduling courier pickupsChecking the company website's email account dailyCoordinating switchboard coverage when absence from the office is plannedKeeping the reception area neat and well-organized at all timesQualifications: Must have excellent telephone etiquette, communication skills, and interpersonal skillsStrong computer skills, including proficiency with Microsoft Office Suite, specifically OutlookPleasant, engaging, and professional demeanorTeam playerSelf-starter - resourceful and proactive when issues arisePhysical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary.
