Position Overview This role plays a vital part in ensuring smooth order processing, inventory management, and supply chain operations. The ideal candidate is organized, detail-driven, and capable of coordinating across departments to maintain efficiency in order fulfillment, procurement, and logistics. Key Responsibilities Order Processing & Fulfillment: Manage the end-to-end processing of customer purchase orders, ensuring accuracy and efficiency. Coordinate shipments with logistics partners to ensure timely delivery. Track orders and provide status updates to internal teams and customers. Resolve order-related discrepancies, shortages, and customer concerns promptly. Ensure accurate documentation, including invoices, Certificates of Analysis (CoAs), and Bills of Lading (BOLs). Inventory & Supply Chain Management: Monitor and maintain optimal inventory levels to prevent stockouts or overstocking. Place internal purchase orders for products and samples based on demand forecasts and stock levels. Track and manage incoming shipments and warehouse stock to ensure accuracy. Work cross-functionally with sales, customer service, and logistics teams to ensure ingredient availability. Maintain accurate records of inventory transactions and reconciliations. Operational Efficiency & Process Improvement: Develop, document, and implement operational policies and procedures to improve efficiency. Continuously assess and optimize workflows for order processing and inventory management. Support CRM and data management to streamline reporting and forecasting. Assist with general office administration and operational tasks as needed. Qualifications & Skills Experience: 3+ years in operations, supply chain, logistics, or order processing, preferably in the cosmetics, personal care, or food & nutrition industries. Technical Skills: Proficiency in MS Office (especially Excel); experience with CRM/ERP systems (e.g., ClaritySoft) is a plus. Problem-Solving: Strong analytical and troubleshooting skills with a customer-focused mindset. Organization & Detail: Ability to manage multiple priorities while maintaining accuracy and efficiency. Communication: Excellent verbal and written communication skills for cross-functional collaboration.
