POSITION PURPOSE: We are seeking a Private Events Coordinator to assist the Events Manager/Events Director with excellent organizational, planning and time management skills with the capacity to handle multiple projects simultaneously, and is comfortable and successful in a fast-paced environment. Assist the Private Events Director/Events Manager and Private Dining Department in all aspects coordinating all private dining details ie: Full Restaurant Buy-Outs, Semi-Private Events, Off-Site Opportunities. ESSENTIAL FUNCTIONS AND BASIC DUTIES: Ultimately responsible for keeping a line of communication open between clients' needs, management and staff Correspond and maintain leads/inquiries from Tripleseat, Outlook, and all/any other platforms Prepare, communicate and post weekly BEOs relating to the event to ensure a smooth and efficient execution Advise clients on menu selections, room set-up details, florals, A/V, rentals, etc. Conduct on-site visits with clients Greet host/clients on site at the beginning of an event to ensure total client satisfaction and and adjust last minute requests Prepare documents needed for staff to review during event preshift Update menus, information packets and floor plans Ensure event is confirmed in Resy Submit Guest lists for security (where applicable) Create menu cards, escort cards, and place orders for kosher meals, rental lists, floral, balloons etc. SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES: The individual must possess the following knowledge, skills, and abilities to demonstrate that he/she can perform the essential functions of the job, with or without reasonable accommodation; using some other combination of knowledge, skills, and abilities: Able to speak, read, write, and understand the primary language(s) used in the workplace Excellent communication skills, both verbal and written Able to learn and perform all essential job functions accurately and safely Ability to meet and greet and coordinate with prospective and current clients Strong telephone etiquette, specifically in tone of voice, listening and understanding clients' needs, communicating your thoughts clearly, and recording all pertinent data collected from all forms of correspondence/conversation Provide friendly, courteous and efficient service to all guests A thorough understanding of all booking policies and procedures Ability to work with multiple computer applications including but not limited to the Microsoft office suite, Tripleseat®, allseated, UpServe, and Resy or similar software Knowledge of the following: kitchen functions, general culinary practices, restaurant operations and banquet operations OTHER: Regular attendance in conformance with the Company's policies is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment Due to the cyclical nature of the industry, Employees may be required to work varying schedules dependent on the business needs. Attendance to scheduled training sessions and meetings are required Upon employment, all Employees are required to fully comply with The Dinex Group rules and regulations for the safe and effective operation of the facilities. Employees who violate organization rules and regulations will be subject to disciplinary action, up to and including termination of employment QUALIFICATION STANDARDS: Education: College or equivalent hospitality education required. Experience Minimum 2-year experience in Fine Dining, Forbes, or Michelin restaurant as Events Coordinator required. Experience coordinating events on a team that generates minimum of $2.5million in event revenue Large scale production and or high volume event experience a plus Ability to work nights, weekends and holidays, and variable schedule, per the needs of the business Appreciation, Passion and knowledge of food, wine and hospitality. Minimum 1 year experience with Microsoft Outlook, Office Suite, Resy, allseated and Tripleseat required.
