This role provides support to billing, intake and project management roles and works closely in a collaborative team environment with all HWAP BIL staff and CHN Energy Services programs. In this role, the Assistant Project Manager HWAP BIL must be capable of understanding technical components and be able to communicate clearly with the Program Manager and the state Administrative Monitor. This role participates in the HWAP BIL incoming application process by overseeing the assignment of inspectors and approving billing submissions. This position will work closely with additional program integrations of Housewarming and HWAP and will manage invoices received from contractors while ensuring full compliance and minimum production requirements with the State HWAP BIL program. A comprehensive list of essential duties and responsibilities can be found below. The rate of pay for this position is $54,000 per year commensurate with experience ($25.96 per hour, FLSA Non-Exempt) Essential Duties & Responsibilities: Receives client applications from Intake and assists in processing work order packets. Assist Manager with program responsibilities. Assist monthly billing, reports and filing to maintain required compliance standards. Ensures that all required HWAP Checklist documents are submitted with each client job. Acquire necessary knowledge regarding leverage programs and funds. Expedites and reviews pending HWAP BIL jobs. Capable of using CHN data systems such as Salesforce to input estimates, input information into the state OCEAN system and run reports. Maintains agency, inspector and relations with contractor administrative staff.. Demonstrates excellent customer service to our clients Communicates with Program Manager and QC to ensure all updated weatherization standards are communicated with other HWAP BIL staff and agencies. Monitors updates and submittals of Ohio Department of Development via state's OCEAN system. Attends staff meetings and provide accurate and updated reports to the CHN team. Communicates regularly to Operations Manager on all aspects of HWAP BIL Program and collaboration opportunities. Archives annually past job and sends to storage. Performs other duties as assigned. Education and/or Work Experience Requirements: Required: Education: High School diploma College Degree preferred with accounting or controller background Experience: Ability to multi-task and collaborate with other internal and external partners. Three years of experience in construction management, accounting or bookkeeping Budget analysis, contracts, business writing and communication. Strong interpersonal skills, ability to communicate with funders, and assist in management of budget of $3M annually Understanding of Ohio Weatherization standards, policy and procedures a plus Data entry, verbal and written communication skills Microsoft 365; specifically, Word, Outlook, Teams, SharePoint and Excel, Salesforce a plus. Skills: Customer service - phone etiquette, timely response, follow up, mailings, documentation, and good writing skills Communicates well with external vendors and with clients Detailed Oriented in order to maintain compliance Deadline driven - able to work at a fast pace to process reimbursements on time. Organization skills - file review, inventory, tracking of job/invoice/clients Critical Competencies: Accepting of change, communication skills, team building, trustworthiness, ethics and embodies CHN's core values.
