Position Summary: The Capital Fiscal Operations Coordinator will assist in the administrative and operations support of capital projects in school buildings and as needed, assist in the process of securing State and Federal funds for the projects. Under the general supervision of the Manager of Capital Budget & Planning, as required, develop and execute transactional documents and periodic status reports for active capital projects for external stakeholders. May be required to visit schools periodically to ensure compliance with project eligibility and funding requirements. Performs related work. Reports to: Deputy Director, School Facilities Direct Reports: N/A Key Relationships: Division of Instructional and Informational Technology (DIIT), School Construction Authority (SCA), Division of School Facilities (DSF), Division of Central Budgets (DBOR), Division of Fiscal Operations (DFO), Division of Contracts and Purchasing (DCP), Office of the Auditor General (OAG), Office of Management and Budget (OMB), State and Local Elected Officials and other School Districts and other offices, as needed. Responsibilities: Manage timely communication and facilitate sharing of ideas of technology projects within the school-based community and field-based program offices. Collaborate with stakeholders from schools, finance teams and other team members on budgeting and allocating funds for projects. Develop, review, and execute procurement and transaction documents for capital projects funded with city, state, and federal funds. Conduct project closeout activities including obtaining any required signoffs, cost reconciliation and validation of contractors' billing information, ensure that all supporting documentation is in auditable form for retention purposes. Always ensure accuracy of pertinent project and cost information. Participate in and contribute to all periodic and ad hoc reporting as needed. Inform the school community of the school building upgrades and other developments. Manage deadlines and progress across the project execution team to ensure the project is delivered on time and on budget. Provide ongoing partner support by assisting schools in navigating online financial processes. Use data to strategically support schools and finance teams on how to determine where to direct State and Federal aid. Conduct ongoing evaluation and reconciliation of project cost and contractors' quotes. Create PowerPoint presentations to utilize during outreach engagements as needed. Organize contractors to deliver capital assets/equipment to school buildings. Direct responsibility for solving complex problems that will occur on projects within portfolio. Qualification Requirements: Minimum: A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one (1) year of experience as described in "1" above. Preferred: Detail-oriented with the ability to present information clearly, concisely, and logically. Exceptional written and spoken communication skills. Ability to manage multiple projects at once under pressure and meet frequent and changing deadlines. Analytical thinker with detailed research proficiencies. Proficiency in Microsoft Office 365 and other applications. Please include a resume and cover letter with your application.
