Base pay range $80,000.00/yr - $85,000.00/yr Chief Operating Officer at Chicago Public Library Foundation Position Overview: The Chicago Public Library Foundation (CPLF) is seeking a mission-driven and detail-oriented professional to join our team as the Finance Director. This full-time role combines leadership in financial management with hands-on responsibilities, encompassing accounting, procurement, and financial reporting. The Director will collaborate closely with the Chief Operating Officer (COO) and other team members to ensure the effective management of CPLF's resources while contributing to the organization's strategic initiatives. Key Responsibilities: Financial Management and Reporting: Lead audit and tax preparation, including the development of work papers and financial statements in collaboration with external auditors. Oversee the reconciliation of bank, investment, and credit card statements. Generate reports on financial activities, including accounts payable/receivable, restricted funds, and endowments. Build a best in class financial monthly close, reporting, forecasting and planning process. Prepare and present financial analyses, reports, and dashboards to leadership and the board to facilitate informed decision-making. Build a process to provide leading and lagging key performance indicators to measure the health of CPLF versus objectives. Accounting Operations: Process accounts payable and receivable, including invoice review, coding, and payment processing via ACH, wire, check, and credit card. Oversee procurement processes and streamline efficiencies, emphasizing vendor diversity. Ensure all financial operations, reporting, and analyses are conducted with precision, supporting the organization's mission and strategic objectives. Manage annual 1099 preparation and compliance. Strategic Collaboration: Serve as a staff liaison to Board Finance & Audit Committee. Participate in organizational strategy conversations to identify process improvements and efficiency opportunities. Assist the COO with general ledger reviews, cash reconciliation, and year-end audits. Chicago Public Library Partnership: Act as the primary financial point of contact for partners at the Chicago Public Library, ensuring transparent communication and collaboration. Monitor budget performance and provide ongoing financial insights to inform decision-making and resource allocation. Qualifications: Bachelor's degree in accounting, finance, or a related field (CPA and advanced degree preferred). Minimum of seven years of progressive financial management experience, preferably in a nonprofit setting. Comprehensive knowledge of GAAP, budgeting, financial analysis, and nonprofit auditing standards. Experience with accounting software, particularly Financial Edge, and advanced knowledge of Microsoft Office. Demonstrated ability to manage multiple priorities, meet deadlines, and work both independently and collaboratively. Exceptional verbal and written communication skills. Integrity, ethical conduct, and a commitment to CPLF's mission. Work Environment: CPLF offers a hybrid work environment, with up to two remote days per week. Typical working hours are 9:00 am - 5:00 pm, with occasional evening or weekend hours. This position operates within an accessible office environment and requires the use of standard office equipment. Role Roadmap 30 Days During your first month at the Library Foundation, you will focus on getting to know the organization; familiarizing yourself with our internal processes and systems; meeting our partners at Chicago Public Library; and developing working relationships with your colleagues. You will be comfortable with procurement, invoice payments, and have a working knowledge of the credit card reconciliation and bank reconciliation processes. 60 Days After your first two months, you will have developed a strong working relationship with program staff at Chicago Public Library. You will have a strong working knowledge of procurement, invoice payments, credit card reconciliation, and bank reconciliation. 90 Days and Beyond By the end of your first three months on the job, you will have developed a strong working relationship with the marketing, operations, and development teams. You will independently manage all aspects of the role.
