Visit our website at to access the full listing of job opportunities and to learn more about our great agency.THE DIVISIONThe Operations Division is key to supporting the work of the entire agency - including overseeing the facilities in which we operate, managing DCP's auto fleet, supply inventory, telephones, bookstore, in-house printing and correspondence, as well as monitoring our safety policies and programs. The division is a one-stop shop in ensuring that our planning, IT and administrative staff have an environment and the tools they need to be productive. As a team, we strive to deliver impactful customer service and to ensure that our team members are safe and comfortable at work.THE ROLEReporting to the Chief Operating Officer, the Operations Manager will supervise a staff of 3 directly and coordinate with our 5 borough office managers and our procurement team.Duties will include but are not limited to:Oversees all operational actions, including but not limited to facility operations management, fleet management, emergency operations planning, campaign finance board liaison, union and health code compliance and related reporting.Oversee the administrative and operational activities, including space management of the assigned facilities.Evaluate maintenance and custodial needs and monitor performance of maintenance and custodial functions/vendors pertaining to facility upkeep.Attend to emergencies as they arise and resolve problematic issues.Conduct regular walk-throughs for facility inspections.Oversee and follow up on service requests.Serve as an agency liaison to building staff and private contractors.Managing the physical conditions of all 5 DCP offices, in partnership with DCAS and private landlords.Manage office renovations, furniture purchases and other office changes throughout the agency.Manage, revise, and report on the Departments' Continuity of Operations Plan.Manage all workplace vendors, take lead on all health and safety initiatives, inspections, etc: OSHA, Fire & Safety.Work with stakeholders to create and update workplace safety policies.Maintain regular communication with security teams to ensure a well secured facility.Track and update all necessary web systems (Everbridge) and tracking sheets (seating chart, voter registration forms, etc.) to ensure the safety of all staff.Other duties as mandated by the COO.Minimum QualificationsA baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources and the scheduling and assignment of work, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; orAn associate degree or 60 semester credits from an accredited college and five years of satisfactory, full-time progressively responsible experience as described in "1" above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; orA four-year high school diploma or its educational equivalent and six years of satisfactory, full-time progressively responsible experience as described in "1" above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. However, all candidates must possess the 18 months of administrative, managerial, executive or supervisory experience as described in "1", "2" or "3" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the administrative, managerial, executive or supervisory experience described in "1", "2" or "3" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.Preferred SkillsThe ideal candidate will have demonstrated thorough knowledge of Facilities management including: Project management skills, Customer service, Organization and Time Management, Excellent Communications, Problem solving skills, Decision making and team working, Leadership, and Professionalism.
