We deliver on wellness, beauty, and proven pharmaceutical-grade products to meet your ever-changing needs.THE POSITIONThe Executive Assistant to the CEO will provide high-level administrative support by managing the CEO's calendar, communications, and strategic initiatives. The ideal candidate will have exceptional organizational skills, a proactive approach to problem-solving, and the ability to work in a fast-paced, dynamic environment. Your main focus is to increase the CEO's productivity and serve as a representative of the CEO to employees, clients, and other stakeholders.Key Responsibilities:Calendar Management: Manage and optimize the CEO's calendar, including scheduling meetings, appointments, and travel arrangements. Prioritize tasks and ensure the CEO is prepared for all engagements.Communication Liaison: Act as the primary point of contact between the CEO and internal/external stakeholders. Draft, proofread, and edit correspondence, emails, and reports as needed.Meeting Support: Prepare agendas, take meeting minutes, and track action items. Coordinate logistics for board meetings, executive team meetings, and other key engagements.Travel Coordination: Plan and organize travel arrangements, including flights, accommodations, and transportation. Ensure the CEO is well-prepared for trips, including itineraries and meeting schedules.Project Assistance: Assist the CEO with special projects, research, and reporting as required. Track deadlines and deliverables for ongoing initiatives.Confidentiality & Discretion: Handle sensitive and confidential information with the utmost professionalism and discretion.Office Administration: Manage office supplies, equipment, and other administrative tasks as needed to maintain a smooth and efficient office environment.Relationship Building: Build and maintain strong relationships with executives, team members, clients, and external partners.WHO YOU ARE:Have at least 2 years of experience supporting C-level executives or senior management in an administrative capacity.Exceptional organizational ability and time-management skills with the ability to manage multiple priorities simultaneously.Strong written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other office software.Ability to maintain professionalism, discretion, and confidentiality at all times.Bachelor's degree or equivalent experience preferred.Flexibility to work outside regular office hours when needed.Strong problem-solving skills and attention to detail.Ability to thrive in a fast-paced, ever-changing environment.Proactive, adaptable, and solution-oriented.Preferred Qualifications:Experience working in the personal care industry.WHAT WE OFFER:· Hybrid work schedule, Monday - Friday· Health Benefits· Vision Benefits· Short-term & Long-term disability· Paid Holidays + Paid time off· 401k Plan with Company MatchMust live in commutable distance of NYC + Amityville, NYSeniority levelMid-Senior levelEmployment typeFull-timeJob functionAdministrative, General Business, and ManagementIndustries: Personal Care Product Manufacturing, Pharmaceutical Manufacturing, and Retail Health and Personal Care Products#J-18808-Ljbffr
