Job Description The Program Coordinator (PC) is responsible for assisting the team with professional education events. The PC will collaborate with their manager and other team members to create program-specific materials, collate and ship them, and monitor and manage delivery. The PC will enter information into the speaker database and run various reports. They will also be responsible for post-program reconciliation of credit card statements and receipts. The PC must possess excellent oral and written communication skills, superb organizational skills and attention to detail. ESSENTIAL FUNCTIONS Administrative Perform basic administrative duties such as data entry, scheduling and coordination of projects Client Relations Provide support across internal client teams and vendors Budgeting & Finances Collaborate with finance and client teams to create accurate project scopes. Ensures that projects deliver on time and within budget Program Implementation Implement a variety of different programs that support business needsJOB DUTIES & RESPONSIBILITIES * Provide day-to-day project support * Enter attendee registrations in database and send out all confirmations. * Manage incoming phone hotline and take registrations over the phone if needed. * Enter all post-program evaluations, run all evaluation reports per program, and send to supervisor for distribution. * Manage collation and shipping of all program-specific handouts and invitations * Database all program information and provide regular reports to the supervisor on program status, program evaluations, financial status, and HCP-spend tracking. * Support the reconciliation of company AMEX cards * Work closely with other team members to ensure successful program execution. * May begin to learn process for speaker bureau programs.EDUCATION Associates Bachelors Communications or Business-Related FieldLICENSES & CERTIFICATIONS Working knowledge of speaker bureau a plusEXPERIENCE Familiarity to perform basic functions and formulas in Excel WorkFront Proof HQ Proficiency in Microsoft PowerPoint to create slides for business needsCOMPETENCIES Communication Is attentive and shows interest in the subject; Expresses ideas clearly and accurately Organization Creates clear goals, identifies and finds the resources (e.g. time, people, materials) needed to achieve them, and schedules tasks so that work is completed on time Accountability Demonstrates and communicates a high level of ownership and commitment to achieving result; Takes responsibility for one's own actions and decisions, and their consequences Client Focus Ability to interact professionally with clients and demonstrates client focused approach to service their needs Prioritization Sets and manages priorities judiciously For U.S. Job Seekers It is the policy of IPG Health and any of its affiliates to provide equal employment opportunities to all employees and applicants for employment without regard to race, religion, color, ethnic origin, gender, gender identity, age, marital status, veteran status, sexual orientation, disability, or any other basis prohibited by applicable federal, state, or local law.
