The Data Entry Company (TDEC), a nationally recognized Business Processing Outsourcing (BPO) Organization, seeks a Supervisor for our mailroom office located in the Washington, D.C. area.Candidate must be able to work onsite daily in our mailroom office.Summary:The Supervisor will help supervise the daily operation and will assist to lead the team in direct support of our federal customer. The supervisor will liaise with TDEC direct and indirect reports, prime contractor management and federal management to complete daily required services. This position includes assistance with oversight of the administrative duties, equipment and general functions of the contract.Duties & Responsibilities:Supervise and lead employees assigned to the following tasks:Data entryMail processing- counting, sorting, opening, prep, scanElectronic Record filingTimekeepingOne off client requestsInvoicingDaily, weekly and monthly performance reportsOther specific tasks as directed by Site ManagerCandidate must be able and willing to:Represent TDEC on technical and administrative work matters as described in the contractProvide clear, concise and timely responses to customer and business partner inquiriesForecast weekly, monthly and annual incoming mail volumeMake process change recommendations to improve efficienciesCompile multiple reports and effectively communicate the results to both internal and external managementMonitor daily volumes of incoming mail and effectively shift staff in and out of the different functions to complete daily work within the required timelinesBe responsible for the overall daily production and quality goalsMeet with staff to provide clear concise feedback and timelines to meet expectationsCreate a pathway to success for new hire staff members through frequent review of daily output and coaching best practicesIssue Performance Improvement Plans (PIP) and corrective actions as necessaryMonitor staff timesheets and ensure accuracySchedule and manage vacation, sick time, unplanned absences, overtime, etc. to keep the workspace running efficiently and meet contracted requirementsEnforce TDEC policies and procedures according to established handbook guidelinesAssist with all aspects of the hiring process for open positions- recruit, interview, background check, onboardEnsure staff cross-training to build bench strengthRequired Knowledge & Experience:Three (3) years of management experience is substitutable for college degreeMust have at least (2) years of record management experienceAbility to manage time effectivelyAbility to comfortably interface with the Government representatives and management as well as other business partners on the contractAbility to respond clearly and concisely to various requests from federal customers, prime contractors and TDEC managementAuthorization to work in the U.S.Preferred Knowledge & Experience: College degree preferredKnowledge of operation of the following mail equipment:OpexOmationAgissarHigh Speed ScannersApplicant selected will be subject to a government security background investigation and must meet eligibility and suitability requirements.Equal Opportunity Employer/Veterans/Disabled
