Job Summary This position is responsible for managing and maintaining the inventory records for Facilities Building Services, ensuring the efficient flow of materials and supplies necessary for daily operations. Key duties include receiving, inspecting, storing, and organizing custodial and maintenance supplies, while maintaining accurate inventory records. The role involves regular counting and tracking of inventory to ensure adequate stock levels, as well as redistributing materials to employees in a timely manner. The position also includes overseeing the condition of stored items, coordinating with vendors for replenishment, and ensuring compliance with safety standards for storage and handling. The incumbent will play a crucial role in supporting the overall functionality of Facilities Building Services by ensuring that supplies are readily available, properly documented, and efficiently distributed to meet operational needs. Responsibilities Inventory management - 60 * Receive and account for all items purchased by the Building Services Department. * Enter received items and related information into the inventory software. * Perform physical inventory checks for all storage locations to ensure accuracy and accountability. * Label new items and assign them to appropriate storage locations, ensuring organized and accessible inventory. Asset Tracking and Reporting - 20 * Identify and record information for assets, ensuring accurate tracking for state of Georgia reporting. * Prepare and submit detailed reports for Building Services assets valued at $3,000 and up to the Material Management department for state reporting. * Monitor and maintain records for asset maintenance and replacements. * Ensure compliance with state regulations by updating and reporting inventory as required. Supply and Equipment Monitoring - 15 * Monitor supply usage to maintain appropriate stock levels for the campus. * Mix chemicals as required for employee use, following safety and usage guidelines. * Provide usage guidelines to supervisors for new tools, equipment, and supplies. * Oversee and schedule the repair of equipment, ensuring all tools and machinery are in proper working condition. Other - 5 * Assist with special projects related to inventory management and supply coordination. * Provide support for the periodic review and update of inventory management procedures. * Communicate with vendors to ensure timely delivery of supplies and equipment. * Perform additional duties as assigned by Building Services management. Required Qualifications Educational Requirements High school diploma or equivalent Other Required Qualifications Valid Driver's License Required Experience Three years of inventory management experience. Preferred Qualifications Additional Preferred Qualifications Experience in inventory management, ideally within building services, with a solid understanding of inventory control and asset tracking. Strong communication, organizational, and problem-solving skills, along with proficiency in Microsoft Office and inventory software. The ability to obtain a fork lift license. Preferred Educational Qualifications An associate's degree in business or a related field Preferred Experience Experience in facilities management. Advanced skills in inventory management software, vendor relations, and the ability to oversee equipment repairs are beneficial. Required Documents to Attach * List of References Knowledge, Skills, & Abilities ABILITIES * Updates SDS records with new chemicals and provides them upon request when necessary; informs supervisors and staff on proper usage of chemicals and equipment when new items are purchased. * Utilizes hand trucks and pallet jacks to load or remove supplies from delivery trucks; drives carts and vehicles. * Ability to lift up to 35lbs alone and more with assistance; able to maintain accurate records. KNOWLEDGE * Knowledge of basic computer applications to track inventory, preferably Excel or Access. * Knowledge of GCSU campus locations preferred; some knowledge of office practices, policies, and procedures. * Customer service experience. SKILLS * Maintains computer records of delivered and received items by entering information into inventory software. * Utilizes hand trucks and pallet jacks to load or remove supplies from delivery trucks. * Counts material, equipment, and supplies in stock and posts totals to the inventory records in Inventory Direct software.
