Job Title:Vice President Shelter OperationsReports to:Senior Vice President of Shelter ProgramsStatus:Full-timeClassification:ExemptJob Location:Shelter Sites across the organization, travel to sites required.Work Schedule:Monday - Friday, 9am - 5pm (some weekend or evening hours as needed)Salary Range:$115,000 - $125,000ObjectiveLantern Community Services is seeking a highly experiencedVice Presidentof Shelter Operationsto oversee three current shelter sites, as well as any new sites that will be added to the Shelter Division. The Vice President of Shelter Operations will plan, direct, coordinate, and oversee activities to ensure development and implementation of efficient operations and cost-effective systems to meet current and future needs. Responsibilities include direct supervision, training, and development of each site's Director of Program Operation (DPO) and their teams, provide overall site management, partner with property management companies to ensure the sites are properly maintained, and liaise effectively with contracted security, as well as with the Department of Homeless Services (DHS). Further, the VP of Shelter Operations ensures all equipment is in good working order, oversees fleet management, food standards and handling certification, violations management, and OTDA and DHS contract compliance. The VP of Shelter Operations will help develop site-based systems, tracking instruments, and policies related to Operations, and will partner closely with the Programs arm of the division to ensure seamless communication and collaboration.Supervisory ResponsibilitiesRecruits, interviews, hires, trains, develops, and supervises a team of Directors of Program Operations (DPOs)Oversees the daily workflow of the departmentManages performance of direct reports through regular supervision and meetingsEnsures quality deliverables are met within required timeframesProvides constructive and timely performance evaluationsManages performance improvement of employees in accordance with company policyPartners with the Program Directors, Directors of Social Services and their case management teams in promoting a collaborative culture of communication and teamwork regarding service delivery and the general operation of each shelter siteCollaborates with agency training department, conducts de-escalation and crisis intervention trainingsFacilitates regularly scheduled Operations-specific staff meetings with DPOs and their teamsParticipates in Incident Review Committee meetings, as well as agency staff and leadership meetings, as identified by Senior Vice President of Shelter Programs.Management Of Facilities OperationsIn collaboration with the Senior Vice President of Shelter Programs, establishes, implements, and communicates the strategic direction of the organization's shelter Operations divisionEstablishes, communicates, and implements shelter operations-related policies, practices, standards, and security measures to ensure effective and consistent support and execution.Ensures division is in compliance with audit standards, approved scopes of work and within approved budget.Administers day to day operations of three shelter sites in accordance with DHS and OTDA regulations.Oversees and liaises with on-site maintenance contractors to ensure the overall safety, security, cleanliness, and operability of the sites.Along with the individual DPO for the specific site, prepares for and is present for all inspections (OTDA/DHS)Ensures DPOs are conducting monthly Fire Drills and Building Codes (Fire Panel, etc.) are, working properly and documented accuratelyCollaborates with DPOs to identify, design, and implement successful access control protocols at each sitePrepares and responds to all Corrective Action PlansCollaborates with DPOs to actively manage violations, ensuring prevention and curing measures and systems are implementedManages large facility projects along with the respective DPOEnsures DPOs are adequately managing 24-hour program coverage, as well as managing oversight of and relationship with Security vendorEnsures shelters comply with regulatory bodies including necessary permits and licenses.Provides oversight for pest management and extermination needs and servicesFleet Management - ensures there is a comprehensive Fleet Management Policy that is consistently and correctly implemented across all sitesLeads special projects including, but not limited to, major repairs, bidding out contracts, managing general contractors, and working with landlords on capital renovations.Ensures funder requests and reports are submitted on timeReviews and maintains facility budgets with fiscal and Executive LeadershipServes as operations lead for all new shelter projects and expansionPerforms other related duties as assigned.Required Skills/AbilitiesExcellent verbal and written communication skillsStrong supervisory and leadership skills that motivate and inspire their teamExcellent organizational skills and attention to detailStrong de-escalation, crisis management, and problem-solving skillsCritical thinking, systems-driven, and solutions focusedStrong project management skillsExcellent interpersonal skillsExtensive knowledge of best practices in the field of shelter operationsWorking knowledge of DOB, FDNY, DHS, OSHA, OTDA, and other regulatory bodiesPrevious experience with CARESProficient with Microsoft Office Suite or related softwareEducation And ExperienceBachelor's degree required.A minimum of 10 years of relevant DHS Shelter experience including progressive responsibilities and project management required.A minimum of 5 years of supervisory experience required.Experience with Supportive Housing, Homelessness, Shelter, or Transitional Housing.Experience working with clients living with chronic health conditions, mental health concerns, and substance use, as well as people with histories of chronic homelessness required.Project and Vendor Management experienceExperience with additional electronic systems such as Site Compli and Salesforce preferredExperience preventing and curing violations.Physical RequirementsProlonged periods of sitting at a desk and working on a computer.Ability to travel to a variety of sites and workplaces throughout the boroughs.Ability to move through sites and settings including those in development.Lantern Community Services (Lantern) values the diversity of all our clients, staff, Board of Directors, and partners.
