SUMMARY: The Senior Payroll Administrator is responsible for the timely and accurate full cycle processing of the Firm's payroll and administration of the time and attendance system, as well as keeping all personnel records up to date and accurate. This position works in tandem with Human Resources personnel and members of the Accounting Department. ESSENTIAL DUTIES AND RESPONSIBILITIES: Responsible for the preparation and processing of exempt (semi-monthly) and non-exempt (biweekly) payrolls for over 420 employees in ADP's Workforce Now, in 10 states. Reconcile the payroll from period to period. Calculate pro-rata wages and deductions when necessary, such as hire, termination, status change. Ensure tax and payroll deduction withholdings are accurate; understand reciprocity. Import worksheets such as bonuses, additional payments, retro payments. Import employee data such as annual salary, deduction changes, benefit goals. Closely monitor timecard entry in ADP's Essential Time. Work closely with HR and Legal Talent on hiring and terminating in ADP. Regular and ad hoc reporting when required with accompanying analysis. Ensure annual goals are accurate for certain pre-tax deductions such as HSA and flex spending accounts. Process/calculate garnishment. Review and modify, if necessary, annual payroll schedules. Key enter and modify when necessary, employee data into the Firm's various systems: -HRIS system: ADP Workforce Now -Accounting System: Aderant -Upload payroll general ledger journal entries, as needed. -Prepare miscellaneous journal entries, as needed. -Budgeting and Forecasting system: Anaplan. -Prepare/modify employer tax expenses projections. -Net cash payroll funding estimates for the cashflow. -Create and run reports from all systems on a regular basis and ad hoc. -Liaison with tech support for problems with systems. Enter banking information into the Firm's invoice payment system (PayMode). Access the MA unemployment database for claims filed and other correspondence. Answer all questionnaires. Prepare Directors verification of employment letters. Work alongside HR for annual reporting such as EEO and ACA. Reconcile certain balance sheet accounts; analyze certain expense accounts; assist accounting with any variance questions. Resolve employee questions and problems by researching and interpreting policies, procedures, and applicable federal and state laws. Maintain payroll guidelines by recommending policies and procedures updates. Maintain strict confidence of all employee data. Attend training classes and webinars on various subject matters to keep current on new legislative matters. Cross-train designated back-up to administer and process payroll and time and attendance. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: Bachelor's degree or equivalent experience required. A minimum of five years of experience with primary responsibility for payroll administration and time and attendance; processing that includes exposure to benefits and 401(k). Knowledge of payroll tax, garnishment, benefit deductions, government compliance. Strong Excel skills. Experience working in the professional services industry is preferred. Strong interpersonal skills, ability to interact with all levels of the organization with diplomacy and tact. Excellent problem solving/judgment skills with a high level of attention to detail. Superior written and oral communication skills. Strong commitment to the development and growth of team members. Advanced interpersonal skills and a flexible, business partner mindset. Ability to prioritize a heavy workload under the pressure of competing assignments. Demonstrate proficiency in Payroll and HRMS Systems (ADP WorkForce Now preferred), Time & Attendance System, Aderant, Windows, Microsoft Word and Excel.
