Job Title: Office Manager Location: Oceans New York Reports To: Vice President of Operations and Management Team Job Type: Full-Time Compensation: Competitive Pay Job Overview: Oceans New York is seeking a dedicated and organized Office Manager with previous experience in a restaurant environment. In this role, you will be responsible for maintaining efficient office operations, managing daily administrative tasks, and supporting the restaurant's financial and operational processes. You will work closely with the Vice President of Operations, Executive Chef, and General Manager to ensure smooth communication and operational efficiency. Key Responsibilities: Financial Administration: Execute weekly payroll for both Front of House (FOH) and Back of House (BOH) teams. Perform daily reconciliation of all sales, including tips sheets, payroll, and pre-authorized guest transactions. Monitor and review department labor punches, including time adjustments, overtime, and earned sick leave. Assist with daily inventory reconciliation, including invoices and POS system data. Review credit card transactions and usage. Prepare final invoices for distribution. Communication and Coordination: Coordinate meetings, conference calls, and/or training sessions for employees and management. Maintain constant communication between the restaurant and the Vancouver Finance and Accounting Teams on a day-to-day basis. Office Administration: Oversee office organization, filing, ordering supplies, and ensuring office functions are maintained. Assist with booking reservations, answering phone lines, and supporting the front desk during peak times as needed. Provide guests with itemized receipts as needed. Order uniforms for staff when necessary. Employee Onboarding: Assist with onboarding new employees, including direct deposit setup and commuter benefit enrollments. Help with paperwork and compliance for new hires. Qualifications: Experience: 1+ years of hospitality office management experience, preferably in a restaurant environment. Skills: Ability to work well under pressure, with strong multitasking and organizational skills. Familiarity with restaurant permits and New York labor law requirements. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Knowledge of payroll procedures and employee onboarding. Experience with Shift4 or similar credit card processing systems. Knowledge of food safety standards (Food Handler's Permit required). Prior experience with Paylocity, Restaurant365, or similar software is preferred. Communication: Excellent verbal and written communication skills. Bilingual candidates are preferred. Personal Attributes: Organized, punctual, and detail-oriented. Ability to collaborate with team members and management to achieve operational goals. Compensation: Competitive pay based on experience and qualifications.
