Director, Operations and Vice President (Office Manager)Job OverviewWe are seeking a strategic and visionary leader for the role of Vice President/Director of Operations & Executive Assistant. In this pivotal position, you will play an essential role in overseeing office management, human resources, financial operations, and fostering a positive company culture. Collaborating closely with the leadership team, you will enhance operational effectiveness and the employee experience while providing executive support to the CEO. This is a remarkable opportunity to make a substantial contribution to our expanding organization.Key ResponsibilitiesAct as the primary liaison with the coworking space provider, managing office leases and contracts.Oversee the operations budget, software utilization, and implement cost management strategies.Monitor key performance indicators, including attendance, working hours, and sustainability objectives.Champion sustainability initiatives and coordinate the annual assessment.Ensure compliance by managing company-wide cybersecurity training.Facilitate weekly team meetings with agenda preparation and discussion facilitation.Administer vendor relationships and lead contract negotiations.Supervise yearly insurance renewals while ensuring regulatory adherence.Streamline the onboarding process for new hires using the PEO platform.Manage payroll, bonuses, and contractor compensation, ensuring precision.Conduct performance evaluations and compile HR reports for executive review.Draft and relay offer letters to potential candidates.Update employee handbooks and HR policies to ensure compliance.Educate managers on HR best practices and compliance.Handle employee relations with professionalism and discretion.Coordinate the offboarding process, including conducting exit interviews.Manage benefits administration and support the annual open enrollment.Maintain financial records and manage expenses through QuickBooks.Oversee client invoicing and accounts payable/receivable processes.Collaborate with the company's CPA for tax compliance and annual reporting.Assist with annual 1099 filings.Organize and execute company-wide events, including team-building activities, annual celebrations, and community service projects.Drive employee recognition initiatives and manage award nominations.Conduct quarterly employee engagement surveys to solicit feedback and identify areas for enhancement.Provide comprehensive administrative support to the CEO, including correspondence editing and presentation preparation.Assist with light calendar management and travel coordination.Required SkillsProficiency in QuickBooks, TriNet, and HRIS/PEO platforms.Strong understanding of employment legislation and HR best practices.Excellent organizational, analytical, and communication abilities.Proven capacity to maintain confidentiality and manage sensitive information effectively.Experience in leading sustainability programs (EcoVadis experience preferred).An entrepreneurial mindset with the ability to manage multiple tasks in a fast-paced environment.Effective verbal, interpersonal, and written communication skills.QualificationsBachelor's degree in business administration, human resources, or a related field.Minimum of 7 years of experience in operations, HR, or administrative leadership roles.Proven experience managing P&L and bookkeeping; experience at a startup or services agency is highly regarded.SHRM-CP certification is preferred but not mandatory.Career Growth OpportunitiesThis role offers significant opportunities for career advancement and personal development within our organization.
