Director of Operations and Vice President (Office Management) Job Overview We are seeking a seasoned and highly efficient Vice President/Director of Operations & Executive Assistant to spearhead and enhance our operational, human resources, and financial processes. In this pivotal role, you will contribute significantly to operational excellence, nurture a constructive company culture, and provide direct support to the executive leadership team.As a key member of the leadership team, you will act as a strategic ally to the CEO, delivering essential insights and assistance in critical areas such as office management, employee engagement, and financial oversight. If you possess a proactive approach, an innovative mindset, and excel in a team-oriented environment, we invite you to apply.Key Responsibilities Serve as the primary liaison for office operations, overseeing all facets of office management. Manage contracts and vendor relationships to ensure seamless office functionality and effective cost management. Monitor and report on attendance, working hours, and sustainability initiatives, including leading EcoVadis efforts. Oversee cybersecurity training, IT administration, and office software requirements. Supervise the Operations Coordinator in office administration and recruitment efforts. Facilitate the onboarding process for new employees, ensuring an exceptional employee experience through HR platforms. Administer payroll, bonuses, and contractor payments efficiently. Conduct performance evaluations and manage employee relations in accordance with company policies. Lead training sessions on HR best practices and legal compliance. Handle benefits administration, including open enrollment and policy updates. Manage exit procedures, including conducting exit interviews and offboarding processes. Oversee financial documentation, client invoicing, and accounts payable/receivable via QuickBooks. Support tax compliance and work alongside the company's CPA during audits and reporting. Edit financial documents such as Statements of Work (SOWs) and manage 1099 filings. Organize team-building initiatives, including community events and annual celebrations. Lead employee engagement and recognition initiatives, conducting surveys and analyzing feedback to enhance satisfaction. Provide comprehensive administrative support to the CEO, including the editing of correspondence and presentations. Assist with scheduling, travel arrangements, and additional tasks as required. Required Skills Proven leadership skills with a history of managing teams and projects successfully. Proficiency in QuickBooks and HRIS platforms, coupled with a solid grasp of HR best practices. Exceptional written and verbal communication abilities. Capacity to manage and prioritize multiple projects in a dynamic environment. Ability to maintain confidentiality and manage sensitive information with integrity. Experience with sustainability initiatives, such as EcoVadis, is advantageous. Qualifications Bachelor's degree in business administration, human resources, or a related discipline. 7+ years of experience in operations, HR, or executive administrative leadership. Preferred, but not mandatory: SHRM-CP certification. Prior experience in operations or office management within a startup or service agency setting is a plus.
