Job Description: Osteria seeks a highly organized and customer-focused Assistant E vent Coordinator to join our team. This role is responsible for managing all aspects of event planning at Osteria, including providing initial information, meeting with prospective clients for engaging and informative venue tours, and ensuring seamless handoff of events to our operations team. The ideal candidate will be detail-oriented, possess strong professional communication skills, be willing to grow, and have a passion for hospitality and events. Key Responsibilities: Plan, coordinate, and execute private events, corporate gatherings, and special occasions at Osteria. Conduct venue tours for prospective clients, confidently providing detailed information about event spaces, package offerings, venue capabilities, and a unique service style. Respond and communicate with prospective clients on wedding planning websites such as WeddingWire, The Knot, and Zola. Work closely with clients to understand their event needs and preferences while adhering to restaurant capabilities, offering tailored solutions to enhance their experience. Serve as the primary point of contact for clients from initial inquiry through post-event follow-up. Collaborate with the culinary and service teams to ensure seamless event execution, including menu planning and setup. Coordinate with vendors, including florists, decorators, and audiovisual teams, to fulfill event requirements. Develop and maintain strong relationships with corporate clients, event planners, and community organizations to drive bookings. Ensure compliance with all health and safety regulations, as well as venue policies and guidelines. Provide on-site support in overseeing event setup, troubleshooting any issues, and ensuring an exceptional guest experience. Design and print menus for events every week. Answer phones to give more information regarding private events and to make standard restaurant reservations. Qualifications: Minimum of 1 year of experience in event planning, hospitality, or a related field. Excellent interpersonal and communication skills, both written and verbal. Ability to multitask and manage multiple events simultaneously. Experience in Tripleseat, Microsoft Office Suite, Canva, and Resy. Availability to work weekends. Strong problem-solving skills and ability to work well under pressure. A customer-focused mindset with a keen attention to detail.
