Job Overview We are excited to announce an opening for the Vice President/Director of Operations & Executive Assistant position, a critical role within our esteemed leadership team. This position is essential for enhancing operational performance, managing human resources, overseeing financial operations, and cultivating a supportive company culture. As a vital partner to our senior leadership, you will play a key role in propelling the operational excellence that contributes to our organization's success. Key Responsibilities Act as the primary point of contact for office management, managing relationships with coworking spaces and overseeing lease negotiations. Administer operational budgets, software systems, and implement effective cost control measures. Generate and present reports on attendance, sustainability initiatives, and operational metrics. Supervise cybersecurity training and vendor management processes. Lead the Operations Coordinator in office administration, social media management, and recruitment activities. Oversee the employee onboarding process, ensuring a seamless experience through the PEO platform. Manage payroll, bonuses, contractor payments, and employee benefit administration. Facilitate annual and mid-year performance reviews, while maintaining HR scorecards. Ensure compliance with legal regulations and keep employee handbooks and policies updated. Organize company-wide events such as community service days, team-building activities, and annual celebrations. Conduct quarterly employee engagement surveys to identify areas for improvement. Provide executive support to senior leadership, including editing correspondence, preparing presentation materials, and note-taking during meetings. Required Skills Exceptional organizational and analytical skills. Proficiency in QuickBooks, TriNet, and HRIS/PEO platforms. Comprehensive understanding of HR best practices and employment regulations. Strong communication skills with the ability to engage effectively with diverse stakeholders. Demonstrated leadership and people management capabilities. Ability to manage multiple priorities in a high-paced environment. Experience in leading sustainability initiatives is advantageous. Qualifications Bachelor's degree in Business Administration, Human Resources, or a related field. 7+ years of experience in operations, human resources, or administrative leadership positions. Prior experience with P&L or bookkeeping is beneficial. Experience in a startup or services agency environment is preferred. SHRM-CP certification is a plus, but not required.
